Document Conversion, OCR & Proof-checking
Budget: $250 – $750 AUD
Convert two binders of typed documents (with light handwritten annotations) into fully formatted, print-ready Word documents.
Volume 1 (303 pp): OCR draft exists — must be checked line by line against the scans and corrected; apply all handwritten edits.
Volume 2 (331 pp): Create OCR from the scans, then verify word by word; apply all handwritten edits.
Source Material
Volume Current form Work required Pages
Vol. 1 PDF scans + rough OCR draft Verify against scans; apply annotations; correct OCR errors 303
Vol. 2 PDF scans (typed originals + annotations) OCR → full verification; apply annotations; correct OCR errors 331
Requirements
Language: UK English; preserve historical spellings unless annotations correct them.
Layout fidelity: Recreate original headings, spacing, indents, line breaks, and page breaks; only reflow within a paragraph when necessary.
Letters/correspondence: Keep line numbering/line breaks for address blocks, salutations, etc.
Original page numbers: Do not carry over or mark original pagination.
Annotations: Apply all handwritten annotations into the main text and log them.
Names/consistency: Fix OCR/name errors using context across both volumes; flag uncertainties.
Tables/figures/stamps: Recreate as native Word where practical; embed images if exact reproduction is required.
Indexing: Create a new index for both volumes (no “one-line per entry” rule). Where entries are truncated in the source, locate the referenced item by old page number and reconstruct; flag uncertainties.
Deliverables (DOCX only)
Vol. 1 & Vol. 2:
DOCX with Track Changes (all corrections and applied annotations visible).
Clean print-ready DOCX (accepted changes).
Change log (DOCX table): page/paragraph, original, change applied (handwriting/OCR correction), note if uncertain.
Issues list (DOCX): any [illegible] or unresolved queries with page references.
Acceptance Criteria
100% of pages verified against scans; all annotations applied.
High fidelity to original layout; only intra-paragraph reflow.
UK English; historical spellings preserved unless corrected by annotations.
All non-trivial edits traceable via Track Changes and the change log.
Any [illegible] items listed in the Issues list.
What to include in your bid
Brief on similar “scan → OCR → verified Word” work and QA workflow.
OCR tools/process you’ll use (your choice; responsible for quality).
