part-time remote executive assistant and personal assistant - 14/11/2023 12:14 EST
Budget: $40 – $70 USD
Computer scientist and entrepreneur seeking an experienced part-time remote executive and personal assistant. I am looking for a long-term engagement with an assistant who will work in an ongoing fashion to reduce my administrative burdens, enhance my productivity, and organize my activities.
RESPONSIBILITIES:
*Manage my professional and personal contacts, websites, and social media presence. This includes both content aspects (editing social media posts, sending holiday cards and thank yous, light PR and marketing tasks, etc.) and technical aspects (password and 2FA/MFA management, redirects and aliases, exporting and moving data, etc.)
*Monitor communications channels (email accounts, mailing lists, Slack and discord channels, voice mail) and follow up in appropriate medium or alert me as necessary.
*Handle household logistics such as making appointments for myself and family members, researching and ordering products, and finding and scheduling repair and maintenance personnel.
*Coordinate my work and personal calendars, make travel arrangements, schedule meetings and speaking engagements, etc.
*Manage personal and professional finance tasks: pay bills, track household and professional expenses, scan and organize receipts, prepare expense reports, manage cancellations and renewals, etc.
*Research and synthesize information on a wide variety of health, financial, legal, and technology topics.
*Organize personal and professional documents and documentation.
*Find, interview, help retain, and manage other assistants when they can do routine tasks at a lower cost, have specialized skills, or are needed for in-person tasks local to me (metro Denver area).
QUALIFICATIONS:
*You have 3+ years of experience as a freelance remote executive and personal assistant. You have chosen this line of work as a long term business and avocation, not a stepping stone to a full-time job. You enjoy learning the personal working style of each client, and adapting processes, tools, and working interactions to make each client effective and efficient.
*You have excellent verbal and written English skills, and are efficient, organized, precise, and detail-oriented in your work and communications. You have great interpersonal skills and are persistent and effective in follow-ups.
*You are an enthusiast for productivity, project management, process design and documentation, and supporting technologies for these, but have a healthy skepticism around "magic bullets". While you have familiarity with many software tools, more importantly you can quickly and thoroughly research and learn new tools and approaches as needed.
*You have extensive familiarity with and ongoing interest in the world of websites, social media, blogs, webinars, podcasts, teleconferencing, communication apps, and mobile platforms.
*You have extensive experience with the Google ecosystem (Gmail, Google Docs, Google Sheets, etc.). Bonus points for experience with the Microsoft, Apple, Amazon, or Atlassian ecosystems.
*You are proactive and solution-oriented in approaching tasks and challenges. You are always looking for opportunities to improve, optimize, and automate processes in a cost-effective way.
*You maintain the highest level of discretion, confidentiality, and integrity in handling personal, professional, legal, and financial information. Must be willing to sign an NDA.
*You do not need to live in the Denver area, but will need to learn a bit about its geography for booking meetings, appointments, and service personnel.
*You have availability to work with me at least 20 hours per month.
*Education: Bachelor's degree preferred, but not required, depending on relevant experience. Bonus points for graduate education and/or familiarity with the world of academic publishing, conferences, etc.
PROCESS
Please include in your application both a resume and a three paragraph note explaining why you're an excellent match for this particular opportunity. I will have an initial 20-30 minute interview with a number of candidates, and then a longer interview with a few finalists. I plan to hire someone as soon as possible.
ABOUT ME
I am a full-time executive in an AI services startup as well as having a small consulting side gig, various academic computer science research and publishing projects, and a busy personal life. I am on a thoughtful trajectory to retire from full-time work in 2028, but plan afterwards to continue to research, write, and consult on AI and statistics, as well as volunteer around political and LGBT issues.
Earlier in my career, I was an independent consultant for 16 years. I worked closely with a series of three primary virtual assistants, as well as many other assistants who helped with particular tasks. They were indispensable to my success, and I'd like to get some of that sanity back into my professional and personal life.
