Position Overview:
The Real Estate Transaction Coordinator is responsible for managing all administrative, compliance, and communication tasks involved in real estate transactions from contract to close. This role ensures each transaction flows smoothly, deadlines are met, documents are accurate, and all parties remain informed throughout the process. The coordinator will also support property management activities related to repairs, billing, and construction coordination for assigned homes.
Key Responsibilities
1. Transaction Management (Per Property Address)
Manage each real estate transaction from executed contract through closing or lease signing.
Prepare, organize, and track all required documents including TREC lease applications, disclosures, addendums, move-in packets, and compliance forms.
Ensure all documents are fully compliant with TREC and brokerage standards.
Maintain timelines and ensure all contractual deadlines are met (option, inspections, financing, appraisal, etc.).
Coordinate communication between buyers, sellers, tenants, landlords, lenders, title companies, and agents.
2. Repair Billing & Property Management Support
Prepare invoices related to property-specific repairs, maintenance, or vendor services.
Ensure accurate record-keeping for expenses tied to each property.
Track payments, confirm completion of work, and maintain billing logs.
Provide financial summaries for each home for internal records.
3. Construction Bids & Repair Coordination (Quotes)
Obtain bids from contractors for repairs, turns, or remodel work related to a property.
Schedule and coordinate vendors, ensuring work is completed on time and meets quality standards.
Follow up with contractors, tenants, and owners regarding repair status.
Track project timelines, change orders, and receipts for construction or repair projects.
4. Client & Agent Communication
Serve as the primary point of contact for updates throughout the transaction timeline.
Provide proactive weekly updates to clients and agents on transaction status.
Respond promptly to inquiries between all parties involved.
5. Compliance & Documentation
Maintain strict compliance with state and brokerage guidelines.
Audit files for completeness prior to closing.
Submit final documentation to the brokerage for approval.
6. Administrative & Operational Support
Maintain organized digital filing systems for all properties.
Update CRM or tracking systems with transaction milestones.
Prepare summary sheets, move-in instructions, and closing checklists for each property.
Assist with listing preparation: ordering photos, coordinating sign installation, and gathering property details (optional if needed).
7. Quality Control & Problem Solving
Anticipate issues and proactively resolve obstacles before they delay the transaction.
Ensure accuracy and professionalism in all documentation and communication.
Manage multiple transactions simultaneously with high attention to detail.
Qualifications
Experience with real estate transactions, leasing, or property management preferred.
Strong knowledge of TREC forms and TX leasing/contract processes.
Excellent communication, time management, and organizational skills.
Ability to manage multiple timelines and stay ahead of deadlines.
Proficiency in MLS, DocuSign, Dotloop, CRM tools, or property management software.
Strong problem-solving skills and ability to work independently.
