Hybrid Donor Meeting Coordinator

I’m organising a hybrid fundraising push for our charity and need help turning a long list of prospective donors into confirmed, well-timed meetings for our leadership team. The campaign blends an on-site component with a parallel virtual track, so every appointment you arrange must clearly specify whether it happens face-to-face at our venue or online (we typically use Zoom or Google Meet, but remain flexible).
Here’s what I need from you:
• Clean my existing donor list, confirm current contact details, and note each person’s preferred meeting format.
• Reach out by email or phone, secure a slot that works for the donor and one of our three senior leaders, and immediately log it in our shared Google Calendar.
• Provide concise briefing notes before each meeting—name, giving history, talking points—so leadership can step in fully prepared.
• Keep a simple tracker (Sheets or Excel is fine) showing who has been contacted, scheduled, declined, or needs a follow-up.
Success is when every high-priority donor is either booked or clearly documented as unavailable, the calendar looks tidy with no overlaps, and our leaders walk into each session understanding the donor’s background.
