RFP: Build a Fundraising Operating Model (Templates, Master Workbook, SOPs + MVP Portal)
Overview
We’re looking for an experienced fundraising operations / PMO consultant to design and deliver a complete fundraising operating model covering Phase 0–3 (planning & outreach through diligence and close). The work includes structured templates, a master tracking workbook, SOPs, enablement materials, and a lightweight portal MVP.
- Key Deliverables:
1. Fundraising Operating Model (Phase 0–3)
• Process map, stage gates, “definition of done” per phase, and RACI/roles
• Assumptions & decision log
2. Templates & Specs (Investor + Execution)
• Raise spec / investment narrative structure, narrative outlines, comms templates
• Investor outreach & follow-up cadence templates
• Data room readiness checklist and document pack standards
3. Master Fundraising Workbook (Excel/Google Sheets)
• End-to-end tracking workbook with tabs for: strategy, pipeline, interactions, diligence, KPIs, risks, and reporting
• Clean structure, clear formulas, and easy handover
4. SOPs + Enablement
• SOPs for core workflows (pipeline updates, follow-ups, diligence tracking, reporting)
• Training materials + handover session(s)
5. Portal MVP (Lightweight)
• A basic portal to centralize templates, SOPs, and the latest reporting snapshots
• Tooling to be agreed at kickoff (e.g., Google Workspace / Microsoft 365 / Notion). If constraints exist (SSO, access controls), we’ll align during kickoff
- Milestones:
• M1: Kickoff + v0 outline
Confirm phases, structure, tooling choice, and delivery plan.
• M2: Prototype/PoC (within first 7–10 days)
Deliver a working prototype including: a sample workbook, 2–3 core templates, and an SOP outline (enough to validate the flow end-to-end).
• M3: v1.0 full pack
All deliverables completed and integrated (operating model, full template pack, master workbook, SOPs, portal MVP).
• M4: v1.1 refinements + handover
Final polish based on feedback, final documentation, and training/handover session(s).
- Timeline:
• Target duration: 4 weeks, with a required prototype/PoC early in the engagement and iteration/refinement before final acceptance.
- Working Style / Communication:
• Weekly checkpoints + async updates
• Clear documentation and version control
• We will not share internal sensitive materials publicly; detailed scope docs can be shared with shortlisted candidates
- What You Need to Have:
• Proven experience building fundraising/IR ops, PMO playbooks, or sales/BD pipeline operating models
• Strong Excel/Sheets modelling and operational documentation skills
• Ability to convert ambiguous inputs into crisp, implementable workflows
- Nice to Have:
• Venture/PE fundraising familiarity (data room processes, investor funnel, diligence workflows)
• Experience shipping lightweight internal portals in Notion/SharePoint/Google Sites
