About the Role
The Family Virtual Assistant is the family’s operational “second pair of eyes.” Your role is to ensure that the logistics of daily life and longer-term initiatives are managed with precision, foresight, and care so that the client can focus on parenting, leadership, and impact.
How We Work Together
This is not a high-volume data-entry role. You will handle a moderate volume of important tasks that are interconnected across personal, parenting, and professional domains.
As a natural second pair of eyes, you will:
- Notice logical gaps before they become errors
- Catch calendar conflicts, time-zone issues, and missing details
- Verify information instead of assuming it is correct
- Identify downstream risks before they manifest
- Accuracy is vital and required.
Partner to Protect Time and Enhance Security
You act as the primary operational filter for the family:
- Managing communication with vendors, service providers, friends, extended family, community members and other external contacts
- Protecting privacy boundaries with discretion and diplomacy
- Ensuring information shared externally is accurate, intentional, and appropriate
- Professionalism, composure, and kindness are vital and required.
Making Systems Operate Automatically (“Invisible Operations”)
Your goal is for routine operations to run so smoothly that the client does not have to:
Provide reminders
Ask for status updates
Catch preventable errors
Scheduling, refills, renewals, documentation, and follow-ups should function quietly and reliably.
Helping the Client Finish What Matters (“Managing Up”)
You operate as an executive partner, not just a task recipient:
- You track “open loops” that depend on the client and follow up until they are resolved
- When a task stalls due to competing priorities or low energy, you reduce friction:
- Draft emails and messages for review or sending
- Pre-fill forms and gather information
- Clearly label what is needed: “approve,” “edit,” or “send as-is”
You look for natural pockets of time in the existing schedule and suggest or schedule tasks accordingly
You follow up calmly and consistently until tasks are completed or consciously deprioritized
If something does not get done, you treat it as a systems issue, adjust the process, and improve follow-through.
Family Business Support
The family is revamping its health and wellness enterprise. You’ll apply the same professional skill-set and approach to contribute to smooth operations.
Your Week as Family Assistant (5–15 hours)
No two weeks are identical, but examples include:
- Prepping for weekly sync with client - identifying open loops, preparing to help the client be successful in upcoming appointments
- Reviewing the next 1–2 weeks of the calendar for conflicts, time-zone issues, missing locations, or links
- Registering the client’s child for extracurricular activities and planning play dates
- Managing recurring household logistics so nothing runs out or lapses (supplies, refills, renewals)
- Documenting informational downloads from the client into actionable tasks and projects in Asana
- Maintaining clear project tracking and writing concise updates before weekly check-ins
Coordinating with a variety of stakeholders to schedule meetings
- Supporting occasional family business tasks (e.g., scheduling, light research, follow-up emails) using the same systems
- Contributing to the family playbook (household and personal operations manual)
Required Tools
- Asana – Source of truth for tasks, projects, and the family playbook
- LastPass – Secure credential management with strict respect for privacy
- Google Workspace – Organized documentation, accurate records, and professional correspondence
Other tools may be identified as needed
Training and context will be provided, but you must be comfortable working inside structured systems.

Key Success Metrics:
Over time, success in this role looks like:
- More first-time error-free task execution
- Thoughtful contributions to the family playbook including documentation logic, documenting processes and systematizing routine tasks
- Reduced need for clarification or follow-up from the client
- Visible forward progress between weekly check-ins
- Open loops that require client action being consistently prompted, supported, and closed
- Systems that function reliably without reminders
