Experienced Project Manager for Advertising & Marketing Agency
Budget: $2 – $8 CAD
We’re a performance-focused growth marketing agency running Google and Meta paid traffic for values-led businesses.
We have a small internal team (7 people) and are looking to bring on a Project Manager to help coordinate work, manage priorities, and ensure nothing falls through the cracks.
Strategy, campaign execution, and creative work are already handled by the team.
Your role is to make sure the right people are working on the right things at the right time.
This is an operations-focused role centred on clarity, prioritization, and follow-through.
Training and clear processes will be provided.
>What This Role Involves
You will be responsible for managing the flow of work across the team.
This includes:
- Ensuring each team member knows their #1 priority at all times
- Assigning and organizing tasks based on impact and urgency
- Following up to ensure tasks are completed on time
- Identifying and resolving bottlenecks quickly
- Keeping projects moving forward without delays
Your job is not to do the work - it is to ensure the work gets done properly.

Your primary job is to drive execution through clarity and prioritization.
This includes:
- Deciding what matters most each day
- Making sure team members are focused on high-impact work
- Ensuring deadlines are met
- Preventing things from slipping or being forgotten
You are the person responsible for making sure the team stays aligned and productive.

Task Management & Prioritization
- Review all active tasks across clients and internal projects
- Prioritize based on: -- Deadlines -- Client impact -- Revenue impact -- Dependencies (what blocks other work)
- Clearly assign or confirm task ownership
- Ensure every team member knows their top priority
Team Coordination & Accountability
- Check in with team members daily to track progress
- Ensure tasks are moving forward without delays
- Follow up on incomplete or overdue work
- Hold team members accountable to deadlines and priorities
Workflow & Bottleneck Management
- Identify where work is getting stuck
- Resolve blockers quickly (missing info, approvals, dependencies)
- Ensure smooth handoffs between roles (e.g., writing → design → reporting)
- Improve workflow efficiency over time
Execution Oversight
- Ensure all deliverables are completed and ready for handoff
- Maintain visibility across all projects and timelines
- Keep work organized and structured
Secondary: Client & Team Experience Support
- Help ensure important deliverables (like reports) are completed on time
- Flag risks related to delays, communication gaps, or missed expectations
- Support alignment between team members when priorities are unclear
- Reinforce focus on high-impact work that drives results and retention
What This Role Is NOT
- Not campaign management
- Not creative strategy
- Not doing execution work (writing, design, ads, etc.)
- Not client-facing sales
- Not final decision-making on strategy
Other team members handle:
- Strategy and direction
- Execution and deliverables
- Client communication (primarily)
You ensure everything runs smoothly behind the scenes.
Requirements
- Strong organizational and task management skills
- Ability to prioritize effectively in a fast-moving environment
- Strong communication skills (clear, direct, structured)
- Ability to manage multiple projects at once
- Proactive mindset - you notice issues and act on them
- Comfortable working with task systems, spreadsheets, or project tools
Nice to Have
- Experience in project management, operations, or team coordination
- Experience working in marketing or agency environments
- Familiarity with task management tools (ClickUp, Asana, Trello, etc.)
- Experience managing remote teams
- Understanding of how marketing workflows operate
Job Details
- Part-time: 30-40 hours per week
- Must work in Pacific Time (Vancouver, 9-5, M-F)
- $2–3/hr CAD depending on experience
- Ongoing role with potential to grow into operations or leadership
