Executive Operations Coordinator — Real Estate, Legal, Family and Business Projects
I am seeking a highly organized Executive Operations Coordinator to help manage several important United States and international matters involving real estate, attorneys, taxes, licensing, automotive operations, family logistics and business launches.
This is not a basic data-entry position. The successful candidate will operate as an executive assistant with a chief-of-staff mindset. Your responsibility will be to turn complex and incomplete matters into organized projects with clear next actions, owners, documents and deadlines.
Responsibilities
Maintain a master dashboard covering all active matters.
Organize confidential documents in Google Drive.
Research and contact attorneys, lenders, title companies, tax offices, bond providers, vehicle sellers, freight companies and other professionals.
Prepare concise summaries before consultations.
Schedule appointments and maintain calendars.
Track deadlines, commitments and follow-ups.
Obtain written quotes and compare service providers.
Prepare daily priority reports and weekly progress summaries.
Escalate urgent risks and decisions promptly.
Coordinate later with marketing, website and AI-video contractors.
Support operations across the United States, Guinea and Sierra Leone.
Required qualifications
Excellent English communication
Strong professional writing and telephone skills
Executive-assistant or project-management experience
Experience coordinating real-estate, legal, financial or compliance matters
High confidentiality and good judgment
Persistent and professional follow-up
Ability to work independently and identify the next action
Reliable availability overlapping Eastern Time
French is helpful but not required.
