Europe-Based Executive Assistant -- 2
Budget: $8 – $15 USD
We are looking for a proactive and versatile assistant to support operations, travel coordination, project management, and documentation activities within an FPGA and embedded systems company.
This position is primarily remote, but occasional in-person visits to our main offices or participation in business trips within Europe (mainly Italy and Germany) will be required.
You’ll collaborate directly with the company founder and CEO, helping streamline daily operations, audits, and international coordination.
Key Responsibilities
Travel & logistics: organize flights, hotels, and transfers for business trips; manage travel expenses and reimbursements.
Project coordination: track tasks, milestones, and deadlines; assist in preparing reports and follow-up summaries.
Documentation & audits: maintain internal documentation, organize audits and qualification records, and help standardize templates.
Market research & lead generation: identify potential clients or partners and collect data for outreach campaigns.
Administrative support: manage calendars, meeting notes, and communication follow-ups.
Certification & quality support: assist in preparing materials for ISO or internal qualification processes.
Requirements
Based in Europe, with the ability to travel occasionally to Italy and Germany.
Strong organizational and multitasking skills.
Excellent written and spoken English (Italian or German is a plus).
Experience in travel booking, expense management, and business coordination.
Proficiency with tools such as Excel/Google Sheets, Teams, Planner/Trello, Word/Docs, and cloud storage systems.
High level of professionalism, reliability, and confidentiality.
Preferred Qualifications
Background in project management, operations, or technical administration.
Experience with engineering or R&D teams.
Knowledge of CRM tools or lead generation workflows.
Familiarity with quality systems (ISO 9001 or similar).
Willingness to travel for short business trips (2–3 days occasionally).
Work Environment
Primarily remote work, using secure company platforms.
Occasional on-site visits or business travel within Europe.
Flexible schedule within CET working hours.
