About the Role
We are a family relocating from the United Kingdom to Northern California and are seeking a highly organised, proactive Personal Assistant to support all aspects of the transition and ongoing household and family coordination.
This role begins as a remote position supporting pre-move logistics and transitions into on-the-ground assistance once the family arrives in the U.S.
You will act as the central point of coordination for relocation planning, household setup, scheduling, and day-to-day family support.
Key ResponsibilitiesRelocation & Administrative Support
Coordinate all aspects of international relocation planning
Research and compare neighbourhoods, schools, and housing options
Liaise with estate agents, relocation consultants, and service providers
Assist with visa, documentation, and onboarding checklists (where applicable)
Schedule movers, shipments, and logistics providers
Household Setup (Pre-Arrival & Arrival)
Arrange utilities, internet, insurance, and essential services
Coordinate furniture delivery, home setup, and inventory tracking
Source local contractors (cleaners, maintenance, repairs, landscaping)
Ensure home is fully operational prior to arrival
Family & Lifestyle Support
Manage calendars, appointments, and travel arrangements
Assist with school applications and enrolment coordination
Research childcare, extracurricular activities, and local services
Run errands and manage bookings (restaurants, medical appointments, etc.)
Provide ongoing lifestyle support once settled
Coordination & Communication
Act as liaison between vendors, schools, and service providers
Maintain clear checklists and relocation timelines
Provide regular updates and progress tracking to family
Requirements
Proven experience as a Personal Assistant, Executive Assistant, or Household Manager
Strong organisational and project management skills
Experience supporting relocations or working with expatriate families (preferred)
Excellent written and verbal communication skills
Ability to work independently and proactively solve problems
High attention to detail and discretion with confidential information
Comfortable working across UK and US time zones
Tech-savvy (Google Workspace, calendars, spreadsheets, task management tools)
Preferred Skills (Not Essential)
Familiarity with Northern California / Bay Area / Silicon Valley lifestyle
Experience in school admissions or family relocation services
Background in estate management or luxury household support
Ability to coordinate multiple vendors and timelines simultaneously
