SharePoint Tagged Document Library Automation

Job ID: 39948719

Budget: $1,500 – $3,000 USD

I need a SharePoint Online document library that lets anyone in the company drop a file in, answer a few guided questions and walk away knowing the right metadata has already been applied. The same set of questions should then drive a separate “find-it” form so users can retrieve the exact file they need without knowing its name or location.

The intake piece should open as soon as someone chooses to upload. It must capture:
• Document type, Author/Creator and Date of creation
• Manufacture, Agency and Department
• A free-text field for any longer, searchable notes

Tags created from those answers have to be written straight into the library columns so all standard SharePoint filtering, search and content-type rules work out of the box.

File formats in scope are broad—typical Word, PDF, Excel, images and videos, but also STEP, DXF and other CAD outputs. Everything should land in one library, yet feel perfectly organised through metadata, not folders.

On the retrieval side, I envision a clean form (Power Apps, a modern SharePoint form or comparable approach) with the same questions. When a user submits it, matching files should surface instantly, ideally ranked by relevance.

At hand-over I’ll check that:
• Each question reliably writes to a corresponding column.
• A newly uploaded file is discoverable through the retrieval form the moment the flow completes.
• Search works for all listed file types, including large CAD files.

If you’ve built similar tag-driven libraries with Power Automate, Power Apps, PnP, or comparable tooling, let’s talk about the best way to get this live quickly and cleanly.
