Power Apps Digital Permit Workflow
Budget: $10,000 – $200,000 SGD
I need an end-to-end Microsoft Power Apps solution that digitises our internal permit application and approval process while staying entirely inside the Microsoft 365 ecosystem. Applicants must be able to submit their permit requests online, Administrators review and endorse them, and Supervisors give the final sign-off—all authenticated through Microsoft 365 so each role only sees the screens and data that apply to them.
Here is the flow I have in mind:
• Microsoft Forms will host the application form and guide the user through every required field.
• Power Automate then routes the submission to the appropriate Administrator, triggers the step on approval, and keeps an auditable trail.
• For permits that require training, the user should choose a course or test slot from a calendar view inside the app.
• The assessment itself will run in Microsoft Forms as an MCQ quiz with question randomisation and auto-grading; successful results feed straight back into the app.
• Before the booking is confirmed, the user is taken to an external payment portal; once payment is verified, the flow continues.
• When all criteria are met, the system automatically generates a digital permit (PDF or similar) and stores it in SharePoint while emailing a copy to the applicant.
• A dashboard surfaces real-time completion statistics so I can see overall throughput and any bottlenecks at a glance.
Deliverables that will define completion:
1. Fully functional Power Apps canvas or model-driven app with role-based security for Applicants, Supervisors, and Administrators.
2. Power Automate flows implementing the approval logic, notifications, and permit generation.
3. Microsoft Forms quiz template wired into the workflow.
4. Integration connectors or custom connectors for the external payment portal with status feedback to the app.
5. SharePoint schema, plus an embedded app dashboard showing the required completion statistics.
6. Set-up documentation and a short hand-over session so my team can maintain the solution.
