I am looking for an experienced developer to customize a pre-built, open-source Point of Sale (POS) and ERP system for my automotive spare parts business in South Africa.
Important
I am not looking for a system built completely from scratch. I prefer a proven, pre-built platform that can be customized to meet my requirements.
Preferred platforms include:
- ERPNext
- Odoo Community
- Other established open-source POS and ERP solutions
The developer should recommend the best platform based on my requirements and explain which features are available out of the box and which require custom development.
Business Overview
- Automotive spare parts retailer and wholesaler
- Approximately 50,000 products
- Products linked to vehicle make, model, engine, year, and SKU
- Existing WooCommerce website requiring integration
POS Requirements
- Fast sales processing
- Barcode scanning support
- Product search by SKU, part number, description, vehicle make, model, and year
- Customer accounts with purchase history
- Cash, card, EFT, and account payments
- Quotes, invoices, and returns management
- Discount and promotion management
- Multi-user access with role-based permissions
- Offline functionality with automatic synchronization when internet is available
Inventory Management
- Real-time stock control
- Multiple warehouses or store locations
- Stock transfers between locations
- Low stock alerts
- Purchase orders and supplier management
- Bulk product import and export using CSV or Excel files
Vehicle Compatibility and VIN Lookup
- Products must be linked to vehicle make, model, engine, and year
- VIN lookup integration for South African vehicles (subject to API availability)
- Entering a VIN number should automatically identify the vehicle and display compatible parts
WooCommerce Integration
- Two-way synchronization between the POS system and WooCommerce
- Automatic syncing of products, stock quantities, pricing, orders, and customers
Reporting and Analytics
- Sales reports
- Profit and loss reports
- Inventory valuation reports
- Best-selling products
- Customer purchase reports
- Fast-moving and slow-moving stock reports
Stock Movement and Audit Trail
The system must maintain a complete stock movement history for at least the last 12 months, including:
- Opening stock balances
- Purchases
- Sales
- Returns
- Stock adjustments
- Stock transfers between locations
The system must also include a full audit trail showing:
- User who performed the transaction
- Date and time of the transaction
- Reason for the stock movement
Reports must be exportable to Excel, CSV, and PDF.
Technical Requirements
- Web-based application accessible from desktop, tablet, and mobile devices
- Cloud-hosted or self-hosted deployment options
- No expensive monthly licensing fees
- Use existing modules, plugins, and integrations wherever possible
- Custom development should only be used when required
Ownership and Documentation
- I must own 100% of all customizations and source code developed for this project
- Complete installation and setup documentation must be provided
- API documentation must be provided
- Source code must be delivered through GitHub or GitLab
- Developer must provide training and handover
- Minimum 90 days of post-launch support

Before awarding the project, I require access to a live demo account or demonstration environment.
