testing center booking automation with invoice
Budget: $10 – $30 USD
I need to use a booking system (such as simplybook.me, Zoho Bookings, Zoho CRM, or Calendly) to manage bookings for a testing center that integrates with Zoho Books to provide automatic invoices.
The following are the rules of our booking setup:
We have 5 or 6 days of examinations per month.
The classroom where we conduct exams has 16 desks with 16 IPADs, which can be occupied by 16 people at once.
The exam day begins at 0900 and ends at 1530.
The maximum number of ATPL/CPL/IR/CB IR subjects that can be booked per day is four (5 with a warning to be notified and confirmed by the client at time of booking that the time might not be sufficient to complete all the 5 subjects booked).
The PPL examination consists of nine subjects and needs to be taken in its entirety.
PPL Remedial (repetition of failed subjects) can include up to eight subjects.
There is a daily limit of 22 people who can be booked (6 people at 11:30 with a maximum of 2 ATPL/CPL subjects, 3 IR/ CB IR subjects, or PPL initial or PPL remedial).
The first 16 people will start at 09:00 local time.
All additional people must begin at 11:30.
Anyone who books only one subject must be automatically scheduled for 11:30
Subjects have fixed prices based on the type of license.
ATPL/CCPL cost XX
ATPL/CPL conversion cost XXX
IR, CB IR cost YY
BIR cost ZZ
PPL COST YX and counts as 3 subjects in terms of time.
PPL remedial 1st subject cost ZXZ
PPL remedial 2nd and consequent subject cost ZZZ (as many as needed of the total 9 subjects of ppl)
For booking, people must declare the following information:
Name
Surname
ATO (flight school)
phone number (with WhatsApp)
Email
Address of residence
2 files need to be attached in pdf format in order for the booking to be valid: 1- an ID 2: an Austrocontrol Form
To memorize the client, the software should create a VCF file for the iPhone with the above information and send it to me via email. (Zapier maybe?).
The software must use Zoho Books to invoice the client via email and CC me.
