Functional Requirements
1. Automation in WhatsApp Business
• Automated support for new clients: sending information on schedules, packages, prices, and frequently asked questions.
• Registration management: selecting a schedule, sending bank details for payment, and manual verification.
• Automatic registration confirmation with a welcome image, clothing and punctuality instructions, studio address, and Instagram link.
• Automatic renewal reminders sent (one day before and the same day as the expiration date).
• Ability to request class refills, schedule changes, or package changes.
• Handling extraordinary situations such as class transfers or early cancellations.
2. Google Sheets Integration
• Automated registration of new clients in a private file (name, package, date, amount).
• Automated registration in a second file shared with coaches (class schedule).
• Automatic updates to both files based on payments, renewals, or cancellations.
• Checking and updating availability by class and schedule.
• Ability to add refills or sample classes to the schedule file.
3. Technical Preferences
• The entire operation must be maintained on WhatsApp (no external app required for clients).
• The system must work in conjunction with Google Sheets.
• Solutions based on Twilio, WATI, Callbell, Zapier, Make, etc. are accepted.
• Ideally, the system should be easily scalable or replicable to more studios if a new branch is opened.
