1. Scheduling & Tour Management
Admin users should be able to input and manage tour itineraries based on details provided externally (e.g., via email or uploaded files).
Key data fields include:
Tour identifiers and travel periods
Accommodation details
Passenger and guest information
Flight and transport details
Daily pickup and drop-off schedules
Special instructions such as early or late pickups
System should support manually entered holiday dates and customized scheduling conditions.
Tours can be scheduled in advance, with drivers assigned at a later stage.
2. Driver Assignment & Workforce Tracking
Calendar view interface for assigning and managing drivers across scheduled jobs.
Ability to manage driver profiles including contact details, vehicle information, and availability.
The system should automatically calculate daily work assignments and associated labour costs based on configurable rules (e.g., day type, job count, or location complexity).
A summary of each driver’s activity and compensation should be generated on a regular basis (e.g., monthly).
3. Invoicing & Cost Management
Generate invoices and quotations based on completed jobs and agent-specific arrangements.
Support for various costing models depending on package types, passenger count, and trip frequency.
The system should allow users to define pricing rules and associate them with agents or clients.
Invoices and financial documents should be exportable and aligned with client-provided templates.
Amendments to job details should be reflected in real time in all relevant modules.
4. Service Confirmation & Documentation
Each job should be linked to a service confirmation document (e.g., a digital voucher).
Service providers must be able to:
Acknowledge job completion
Obtain customer confirmation via digital signature
Submit visual proof (e.g., photos) when required
All service confirmation data should be stored and shared with relevant parties (admin and customer).
5. Mobile Access for Field Staff
Field personnel should receive job assignments through a mobile application, made available a day in advance.
The app should allow users to:
View upcoming jobs and related details
Mark tasks as completed
Submit confirmation data (signatures, photos)
View work summaries, including assigned tasks and compensation
