Job Card System Development
Budget: £5 – £15 GBP
I'm in need of a web-based job card system that will allow the creation and editing of digital job cards. Both employees and managers will need access to the system, with an admin login section for authorization of completed job cards.
We would like the system to link with Quickbooks Online seamlessly, either through Zapier or an SQL database connection. This will allow completed job cards to be sent to Quickbooks for automatic invoice creation. Managers can then authorize on Quickbooks before sending.
Key Functionalities:
- Creation and Editing of Job Cards: The system should enable the easy creation and editing of job cards through a user-friendly web form by both employees and managers. Employees can then select their name from a drop-down combo box if they have worked on the job. Single or multiple employees may work on one job with the ability to add 'batches' of labour hours as and when the job is worked on. These hours must then be totaled on completion.
- Ability to edit / create job cards on-site through iOS App or web-based form. Some employees are workshop based, others are mobile.
- Ability to select a simple job status from a drop-down combo box eg. In-progress, waiting for collection, waiting on parts, not started, completed.
- Ability to search by customer, PO number, job status, date, part on both active jobs and completed archived jobs in the past.
- Ability to allow the upload of PDF files, pictures, notes etc for each job.
- Ability to allow simple addition of parts for the job, these are then stored within the system and can be searched for and used for future jobs (also ability to edit / delete part).
- Ability to export each completed job card (including attached PDF files, pictures and notes) to a PDF.
- Sync with Quickbooks Online to allow the syncing of customers
- Sync with Quickbooks Online to send completed job cards for invoicing.
* We do NOT need any type of scheduling or tracking for employees.
Primary Users:
- Employees and Managers/Administrators: This system is primarily for the use of employees who will be responsible for carrying out the tasks listed on the job cards and the managers/administrators who oversee these tasks. Employees will need access to all past completed and active jobs. Managers will need to have access to send the completed job to QuickBooks, add / remove employee names and set an hourly labour rate.
Ideal Skills:
- Proficient in PHP and MySQL
- Experience in developing web-based forms
- Knowledge of job management systems
- UX/UI Design capabilities for a user-friendly interface
Open to all options: The creation of a new system, use of a Wordpress modification, use of Office 365 Forms and Zapier to link to QuickBooks. We have a server to run SQL with Apache, PHP and FTP.
