Installation Implementation of an ERPNext from stratch

This is a new system that still needs to be created and installed.
We are not using this system yet.
1. Subject
The subject is the implementation and configuration of a fully functional ERP system based on ERPNext. The system will be either self-hosted on our own server infrastructure or alternatively provided as a cloud-based solution. The objective is to establish a practical and legally compliant ERP system for accounting, inventory, CRM, and manufacturing processes, particularly aligned with current German e-invoicing regulations.
2. Scope of Work
The selected contractor will be responsible for the complete technical setup, configuration, and documentation of the ERPNext system with the following components:
2.1. System Requirements
ERPNext (latest stable version)
Web-based access via HTTPS
German as the primary language (English optional)
Multi-user system with role-based access control
Documented backup concept
2.2. Required ERP Modules
The following standard ERPNext modules shall be installed and fully configured:
Accounting
Sales
Purchase
Stock / Inventory Management
Manufacturing
Customer Relationship Management (CRM)
Project Management
Helpdesk / Support
Quality Management
Email Integration
Reports & Dashboards
User and Permission Management
The following modules are not required:
Human Resources (HR)
Website / Webshop
Construction
Agriculture
Non-Profit
2.3. Additional Requirements
a) E-Invoicing according to German regulations
Generation and export of invoices in XRechnung and ZUGFeRD 2.1.1 or higher formats
Compatibility with portals of public sector clients
Optional: automated email delivery or upload interface
b) Bank Account Reconciliation
Setup of an interface for automated bank statement import
Support of FinTS/HBCI protocols or API integration (e.g. FinAPI, Tink, Yapily)
Matching transactions to existing invoices and receipts
c) Extended Product Information
Addition of custom fields for products (technical data, variants, serial numbers, etc.)
Ability to filter and group by custom product attributes
Import/export functionality for product data
d) Enhanced Analytics and Dashboards
Dashboards showing KPIs (e.g., sales trends, inventory movement, customer value)
Visual reports in the form of charts, graphs, and tables
3. Security and Access Control
SSL encryption (HTTPS)
Role-based user permissions
Optional: Two-factor authentication
Automated daily backups (local or cloud)
Full administrator access
4. Documentation and Support
Technical setup and configuration documentation
Backup and restore instructions
Documentation of all customizations (fields, scripts, etc.)
Optional: Administrator or end-user training
5. Proposal Submission Requirements
Interested vendors are invited to submit a complete and binding proposal including the following information:
Description of the proposed implementation approach
Estimated project timeline
Technical requirements (server, domain, storage, etc.)
Complete cost breakdown (one-time setup, optional support/maintenance)
References to similar projects (if available)
Recommendations for third-party integrations (banking, e-invoicing, etc.)
