Full Voice AI Automation with Vapi & n8n (Lead Handling, Scheduling, Email, Sheets)

Job Description:
We're looking for an experienced automation developer to create a fully working AI voice system using Vapi, n8n, Google Sheets, Trello, and Email integrations.
This system should automatically call new leads, speak with them using a voice AI agent, schedule appointments, store the data in structured tools, and handle notifications.
What Needs to Be Built:
Lead intake
Incoming leads are automatically added to Google Sheets
Voice AI automation
Using Vapi, the system calls each new lead automatically
The AI agent holds a conversation, books an appointment, and gathers necessary information
Notifications & confirmations
Send a confirmation email to the lead
Send an internal email notification to me (including lead info + appointment details)
Save the appointment (systeme & Google Calendar)
Automated via n8n
All workflows must be built using n8n
You may use webhooks, APIs, Make/Zapier if needed, but n8n must be the automation backbone
Requirements:
100% working, tested, and documented solution
Must be scalable and ready for daily use
Fluent in API handling, n8n, and automation tools
Experience with Vapi or similar voice AI platforms (e.g., Twilio Voice, GPT calling agents)
Optional but appreciated: Gmail API, SMTP, Notion, Make, Airtable experience
Tech Stack:
n8n (self-hosted or cloud)
Vapi (or similar voice agent framework)
Google Sheets
Email (Gmail API or SMTP)
Project Scope:
One-time project, but potential for ongoing support
We expect a fully functional system (tested and working)
