ERPNext Setup and Training Consultant
1. Background
We are a small, mission-driven non-profit organization based in Mozambique, working to advance arts, culture, and community development. To improve internal systems and financial accountability—particularly for donor-funded projects—we are implementing **ERPNext** as its core operations and financial management platform.
We are seeking an experienced ERPNext consultant to support the **initial system setup** and **training of our team lead**, with a focus on **accounting and donor financial reporting**.

2. Objectives
The consultant will assist with:
* Setting up ERPNext to reflect the association’s operational and reporting needs.
* Enabling and configuring core modules.
* Importing key datasets (these are minimal)
* Training the designated team lead

3. Scope of Work
3.1 System Configuration
* Enable and configure the following core modules:
* **Accounts**
* **Projects**
* **CRM**
* **HR & Payroll**
* **Inventory**
* **Events**
* Disable manufacturing and other non-relevant modules.
* Simplify workflows and adapt naming series where needed.
3.2 Data Preparation and Import
* Support the preparation and import of:
* Chart of Accounts (Mozambique-style), Cost Centers, and Custom Dimensions
* Project and grant data (1 project only)
3.3 User and Role Setup
* Configure system users with appropriate roles and permissions:
* Team Lead (Project Manager)
* Finance/Admin Officer
* IT/Support User
* Board Oversight (read-only/reporting)
* Donor/M\&E Advisor (read-only/reporting)
3.4 Training and Knowledge Transfer
* Train the team lead on:
* Creating and managing projects and tasks
* Recording and classifying expenses
* Generating reports (project-based, donor-specific, and general financial)
* Walk through and simulate a full project lifecycle:
* Add new donor and log a grant
* Allocate funds to a project
* Record an expense under the project
* Run a financial report filtered by project and donor

* ERPNext environment configured and tested
* Core data imported and verified
* Role-based access control implemented
* Training session(s) completed with team lead
* One real workflow tested and documented
* Basic user guide/checklist provided (optional but preferred)

5. Duration and Level of Effort
Estimated total time: **up to 3 working days**, including:
* >1 day for configuration and data support
* >1 day for training and workflow testing
* >1 day for troubleshooting, Q&A, and follow-up
Time may be spread over **1–2 weeks** to allow client-side preparations.

* Proven experience with **ERPNext**, especially in non-profit or donor-funded settings
* Strong skills in accounting configuration, reporting, and user training
* Fluency in English
* Ability to work remotely and communicate clearly with non-technical users
