Custom Fields Woocommerce our better solution to Manage Courier Workflow API CRM Dashboard

We tried to build custom field workflow that would attach certain custom fields to products(by mass import. Then when order came through it would attach each field on the backend to the order and create new custom fields based on the order data.
The idea was this would pull into zapier to allow us to know which product could go with which courier.
We tried custom fields, acf to rest api and few other options but didn't work.
If you look at attached to give idea of workflow options we were trying to add (simple ones first then more complex if/add statements etc). Possibly way zapier works it be no way to get fields onto order updated etc.
So this mean only solution might be, would be to build Rest API Dashboard/Crm that pulls all 6 of our sites orders etc into master dashboard. Gives us functionality to modify orders within it, then get it to pull custom field meta in there. Then have exporter to export order data to csv file to manage it.
