Configuration & Customization of Invoice Ninja (Self-Hosted)

Project Objective
We are looking for an experienced developer to install, configure, and customize the self-hosted version of Invoice Ninja according to our business needs. Our structure includes two companies:
Company 1 → 1 branch
Company 2 → 4+ branches (more to be added)
connecting to bank account, matching invoices to transactions ( in/out)
recurring invoicing for some customers
We require support for 4 user accounts with different access roles.
The goal is to build a flexible invoicing system that complies with Belgian tax regulations, supports multi-branding per business unit, and integrates with Peppol and ClickUp CRM.
Scope of Work
Installation & Initial Setup
Install and configure the self-hosted version of Invoice Ninja on our Ubuntu 22.04 VPS.
Secure the installation: SSL, firewalls, brute-force protection, etc.
Set up SMTP email sending.
Multi-Branding Layouts per Business Unit
Configure multiple invoice layouts:
Each with custom logo, color scheme, contact details, and footers.
Choose layout based on client type or product group.
Automate layout selection where possible (e.g., via client tags or dropdowns).
Customization for Belgian Tax & Legal Compliance
Configure:
VAT rates: 0%, 6%, 21%, and reverse charge (“medecontractant”).
Mandatory invoice elements: VAT number, correct VAT text, etc.
Yearly invoice numbering per company/branch.
Add required legal statements for intra-EU supply or VAT shifts.
Set up reporting tools: export VAT summaries for the accountant or Belgian tax office.
Integration with the Peppol Network
Set up Peppol integration for sending and/or receiving e-invoices.
Via existing intermediaries (e.g., Apfact, eConnect) or custom API integration.
Provide guidance on certification, if required.
Integration with CRM (ClickUp or equivalent)
Connect Invoice Ninja with ClickUp via API, Make.com or Zapier:
Create clients and invoices from tasks or projects.
Sync client data and project reference numbers.
Automatically generate invoices based on task/project status.
Propose optimized workflow and provide test scenarios.
Required Expertise
Strong experience with Laravel/PHP applications (Invoice Ninja backend).
Understanding of Belgian VAT and invoicing regulations (we’ll assist with the legal side).
Familiarity with API integrations (ClickUp, Make.com, etc.).
Able to work independently and document configurations.
Security-aware regarding self-hosted applications.

Direct contact with accountant or internal IT if needed.
