Comprehensive Guest Relations Management Software
Budget: $1,500 – $3,000 USD
Project Overview:
This project is focused on managing the Guest Relations System, with operations divided into the following operational teams:
• Ticket Scanning Operations Team
• Guest Relations Operations Team
• Door Opening Services Team
• Hospitality Services Team (Saudi Coffee and Dates)
Staffing and Work Schedules:
• Total Staff: 60 employees.
• Working Days: 7 days a week (staff day-offs are not fixed, and a weekly schedule will be shared in advance).
Shifts:
• Morning Shift: 9 AM – 5 PM
• Evening Shift:
o 4 PM – 12 AM (Saturday to Wednesday)
o 5 PM – 1 AM (Weekend: Thursday & Friday)
Program Requirements:
• We would like the software to include the following features, and the client should have access to view and print reports via a Dashboard.
1. Attendance Management:
• Integrate with the attendance system to view and print shift-wise attendance reports, with the ability to filter by department. The evening shift hours will vary during weekends, as mentioned above. (Attachment 1: Attendance Report for each shift)
• The ability to generate and update the employee’s weekly day-off schedule every two weeks.

• Permissions for users to modify attendance records for employee status changes (e.g., from absent to on leave, excused absence, or overtime work).
• Backup employee scheduling, with the ability to manually add employees to the attendance system.
2. Employee Performance Evaluation:
• Daily performance evaluations for employees, with weekly, monthly, and quarterly summaries. Results should be shown in both numbers and percentages, and there should be an option to display reasons for rating fluctuations and compare each employee’s performance over the month.

• The system should rank employees based on their evaluation results.
3. Operational Reports:
For all numeric-based reports, explanations of each case should be included for reference.
• Daily Shift Report (each shift individually).
• (Attachment 6: Shift Report Template).
• Weekly Report (combined for both shifts, providing an overall site report).
(Attachment 7: Weekly Report Template).
• Monthly Report (similar to the weekly report, covering the entire month).
(Attachment 8: Monthly Report Template).
• VIP Visit Schedule (weekly and monthly).
(Attachment 9: VIP Visit Schedule Template).
• Daily Site Issues Explanation (with details for each case that arises).
(Attachment 10: Site Status Explanation Table).
• Shift Handover Reports (daily handover between shifts).
