CRM & Automation Setup for Electrical Contracting Business (Activepieces, Tally, Google Sheets)
Description:
We are a growing electrical contractor in London. We're building out our back-office automation to streamline lead management, job scheduling, quoting, invoicing, and compliance.
We need an experienced automation specialist to help us design, build, and connect multiple systems using no-code and low-code tools.
Project Scope:
• CRM Automation: Build lead intake workflows (Tally / Jotform ➔ Google Sheets CRM); Auto-tagging by service type; Auto-notifications for new leads; Auto-create client folders in Google Drive.
• Job Scheduling: Auto-assign engineer by postcode; Create optimized job schedule (Google Calendar integration); Route optimization for grouped jobs (RouteXL API or similar).
• Quoting & Invoicing: Integration with Invoice Ninja or Zoho Invoice (or recommend alternative); Automate quote creation from CRM data; Payment reminders + status updates.
• Client Communication: Auto-confirmation emails; Booking reminders; Post-job feedback requests; Annual EICR reminders.
• Compliance Document Management: Store EICRs, RAMS, H&S docs (Google Drive / folder structure); Cert expiry reminders; Toolbox talk scheduling.
• Marketing Automation: Google Ads lead capture integration; Email sequence follow-ups (Brevo or similar).
• Engineer Coordination: Daily engineer schedule emails; Timesheet submissions; Job tracking.

• Google Workspace (Sheets, Drive, Calendar, Gmail)
• Tally.so / Jotform
• Brevo (Email Marketing)
• Zoho (optional)
• Invoice Ninja or alternative free invoicing system

Ideal Freelancer Profile:
• Strong experience with Activepieces / Zapier / Make
• Google Sheets / Workspace expert
• Automation mindset — can design efficient flows
• Familiarity with trades / service business operations is a big bonus
• Can build modular systems we can scale
Deliverables:
• Fully operational workflows
• Testing + documentation
• Handover guide for internal use
• Light support during initial onboarding phase
Budget:
We’re open to fixed price or hourly depending on experience. Start small, build phase 1, then expand.
