Automation process for Office apps

I am an attorney running my own practice, and I want to automate some of the things I do. Specifically, this is what I want:
I open a new folder on my PC for a new client, let's name him "John Doe". When I am in John Doe's folder, I want to have the ability to easily launch a form where I put his info - name, address, ID, phone number, email, etc. This data gets saved somewhere. I have various templates I use - a fee agreement, a power of attorney, court documents, letters to insurance companies, etc, and I want to have fields in these templates that can be auto populated based on the data saved about the client.
