Webshark is a B2B appointment scheduling agency that helps companies book high-quality sales meetings. Our entire team works remotely, so we are aiming to streamline and automate our internal workflows to minimize manual tasks and increase efficiency.
? The Goal
We want to build a custom automation and workflow using monday.com and make.com that ensures a smooth and hands-off process for booking and confirming meetings.
? The Workflow
Form Submission
Our appointment setters fill out a monday.com form after each call.
Information Logging
The data is automatically added to a monday.com board/table.
Approval Step
Once a manager listens to the recorded call and changes the status to "Approved", we want the following actions to be triggered automatically:
✅ A "Thank you for the call" email is sent to the person we had the meeting with (from a client-specific email address).
? A Calendly invite is sent to the same person (each client has a unique Calendly link).
? A notification email is sent to our client with the details of the meeting (the recipient is unique for each client, and all emails can be sent from webshark).
? Current Setup
Steps 1 and 2 are already in place and functioning well. However, step 3 is currently handled manually. We want to automate this step so that everything is triggered as soon as the status is changed to “Approved.”

Each client has a unique “thank you” email sender address.
Each client has a unique Calendly link.
The notification email should only go to the specific client related to that meeting.

A developer or automation expert who:
Has experience working with monday.com automations and Make (formerly Integromat).
Can set up dynamic routing of emails and Calendly links based on form inputs or linked client data.
Can help make our process seamless, scalable, and easy to maintain.
