Project Objective

We need a complete Odoo 15 Enterprise instance installed, configured, and fully operational on our self-hosted VPS. All modules must be integrated for seamless workflows, KSA VAT/Zakat compliance, banking integration, Arabic language support, company branding, and full management of vendors, customers, end-users, and charity accounting. The solution must be ready for immediate business use.

Scope of Work
1. Odoo Installation & Setup

Install Odoo 15 Enterprise on our VPS (Ubuntu/Debian).

Configure and integrate the following modules:

Accounting & Invoicing (KSA VAT 15%, Zakat, charity accounting, compliant financial reports)

Sales, Quotations, POS (customer-facing workflows, approvals, discounts, returns)

Purchasing / POs / SOWs / Master Agreements (vendor management, approvals)

Inventory & Stock Management

CRM & Marketing (lead management, email/SMS campaigns, automated campaigns)

HR & Payroll (Employee management, GOSI, Mudad, other Saudi compliance)

Activate Odoo Enterprise license (3 users or as required).

2. Vendor & Customer Management
Vendor Management

Maintain a master database of vendors:

Vendor name, legal/company name, registration number

Contact person(s), emails, phone numbers, WhatsApp, etc.

Address (billing, shipping)

Bank account details (bank name, branch, IBAN, SWIFT, payment currency)

Payment terms, credit limits

Associated products/services

Tax info (VAT, Zakat)

Link vendors to:

POs, SOWs, Master Agreements

Accounting entries and automated payments

Vendor-specific workflow automation:

Approvals, PO confirmations, delivery tracking, invoice reconciliation

Customer Management

Maintain a master database of customers:

Customer name, company name, registration ID

Contact person(s), emails, phone numbers, WhatsApp, etc.

Billing & shipping addresses

Payment terms, credit limits

Purchased products/services

Tax info (VAT) and charity contribution tracking

Link customers to:

Quotations, Sales Orders, Invoices, Payments, Returns

Workflow automation:

Quote approvals, invoice generation, payment reminders, refunds

End-User Management

Configure workflows for internal or external end-users:

Product ordering

Payments

Returns or cancellations

Charity contributions (if applicable)

Integration with accounting for automated entries

3. Bank Account Management
Vendor Bank Accounts

Store vendor bank account details for automated payments.

4. Server & Hosting Configuration

Prepare and secure VPS environment:

PostgreSQL installation/configuration

NGINX reverse proxy

SSL certificate via Let’s Encrypt

Daily automated backups

Firewall & SSH hardening

Provide complete server documentation:

Credentials, paths, installation steps, database location

5. Customization & Localization

Configure KSA localization:

VAT, Zakat, currency, Arabic support

Customize templates and reports:

Quotations, Sales Orders, Tax Invoices (ZATCA format), POs, SOWs, Master Agreements

Include company logo, colors, branding

Modify workflows:

Approvals, multi-step processes, charity accounting postings

Ensure end-to-end integration: Accounting Sales Inventory Purchasing HR/Payroll Marketing

6. Security & Access

Setup user roles & permissions:

Admin, Finance, Sales, Purchasing, HR, Inventory

Provide secure admin access post-handover

7. Training & Handover

Conduct training sessions (recorded sessions acceptable):

Sales, Accounting, Inventory, HR, charity workflows

Deliver comprehensive documentation:

Server access, backups, restore guide

Module-specific workflow guides

Maintenance instructions

Provide 1-month post-deployment support for troubleshooting

Freelancer Responsibilities

End-to-end installation, configuration, testing, deployment

Full module integration for seamless workflows

Vendor & Customer management, including charity accounting

Bank account configuration and reconciliation

Deliver all source code, database, templates, and documentation

Ensure KSA VAT/Zakat compliance and banking integration

Company Responsibilities

Provide VPS and domain credentials

Purchase Odoo Enterprise license (3 users)

Assign internal IT for ongoing maintenance post-project

Payment & Ownership

Full ownership of data, files, and configurations remains with the company

Payment staged:

40% upfront

30% after testing

30% on full handover

Requirements from Freelancer

Proven Odoo 15 end-to-end implementation experience

Strong knowledge of Saudi VAT, Zakat, banking integration

Experience with Vendor/Customer management workflows and charity accounting

Portfolio/examples of similar self-hosted Odoo solutions

Detailed project plan and timeline

List of assets required to start: database access, logos, product/service lists, opening balances, workflow rules

Ability to deliver a fully operational, self-hosted solution
