Netsuite Administrator for E-commerce Management
Budget: $15 – $25 AUD
I am in search of a skilled Netsuite administrator to support our e-commerce site with a variety of tasks. The primary focus will be on managing inventory and stock, but the role will also encompass several other critical functions to ensure smooth operations.
We use Shopify Ecommerce and POS. We then have Celigo connecting to Netsuit. Netsuit is our inventory system, however we have major issues with store allocations and stock accuracy. We are about to turn on Ship from Store, however we are not confident as our stock is not accurate. Cycle counts are painful and by the time the store does a few skus already there's issues, so we never actually resolve them so we've stocked cycle counts as there's no point. We need to do a BIG stock take asap and this again is soo manual but if we don't fix the issues the stocktake will only be relevant for a few hours!
I believe Netsuit hasn't been installed correctly as these surely should be very simple benefits of having an inventory system. Looking forward to hearing from you, regarding what is possible, how quickly and cost.
Our Process
We have 3 actual retail stores, 1x online store with the warehouse being attached to this. So we create the Product in Netsuit allocate a SKU, then this is then updated in Shopify. Our Ecoms go into Shopify and update the product with images and copy and tags. We then raise POs from Netsuit to order stock. Stock arrives in our warehouse, we update Netsuit and do a stock count to ensure stock is what we ordered.

Then we allocate stock per store and online - this is done manually in an excel file which we then turn into a CSV file. Then we go into Netsuit and upload the CSV file to then create transfer orders for each location. Is it possible to allocate stock for each location directly from Netsuit?
Stocktake and cycle counts : this is a very manual process, I'm wondering if this could be done directly into Netsuit. At the moment we export in CSV, upload in EXCEL print hard copies, then store staff do the count manually. We then use these hard copies to manually adjust stock into Netsuits, which as as you can imagine is a lot of manual work and open to error. Is there a way we can just use iPads or laptop to do a stocktake or cycle count straight into Netsuit? Our staff could have limited access for this perhaps? Or do we do this in Shopify maybe??
Stock Transfers: Are we able to reserve stock or in a holding / transit state whilst we organise for that item to be transferred to an other location? At the moment stock is transferred only when it physically arrives in the other destination. Which means, that in transit could be say 3 days, someone could purchase that item when in actuality is not available.
Processing/syncing issues: Shopify is what we currently use for our Point of Sale and online store, occasionally we have found that sometimes stock does not get deducted from NetSuite even though the sale has been processed in Shopify (affecting inventory accuracy) - please note all our sales are considered the same, which is sales orders. That is for in store POS and online.
Order Fulfilment Glitch: Additionally, occasionally we have found with some orders Shopify would have the item fulfilled an order in one location where NetSuite has the same order being fulfilled from a different location but this location is usually only between say store and online, not between each store. So it's online and store allocation issue (potentially).

Supplier Raw Materials: similarly to our stock count, is there a way we can stock count via NetSuite?
Landed costs/total costings: To apply the landed costs of a product from NetSuite we are currently needing to upload all the information from the shipping invoice into excel and then upload this file / calculations into the POs bill. So this means, that when we raise a PO the landed cost is not added at this point as we don't have this yet. When we receive the Freight Cost / Invoice, we then have a separate excel file to calculate the unit cost and then we go into Netsuit and manually update (type) each PO to include landed cost. From other inventory systems our understanding is that we simply upload the invoice and it should automatically update the PO with the true landed cost.
Additionally, when calculating the total costings of a product, we are needing to outline these costings in an Excel doc to being with, then upload it to NetSuite (please see attachment for example)- this file can go into further detail including aspects like trims etc. Is there a way for this to be done where we do not have to manually upload invoices/apply landed costs to products ? or for the process of total costing being done directly in NetSuite?
Creation of SKUs: When adding a new colour-way to an existing SKU, we are having to upload an Excel CSV file for the colour-way. Is there a way to simply create a new product / SKU directly into Netsuit instead of needing to do a CSV upload
Live Cost of Gold: while not a pain point or issue, we were looking if there could be a possibility for us to implement a live cost of gold monitor into NetSuite, just to make it easier for the jewellery team to price products.
