AI Virtual Receptionist (n8n + ElevenLabs + Cal.com)
Budget: $750 – $1,500 USD
I am looking for an experienced automation specialist to build a production-ready AI virtual receptionist using n8n workflows, ElevenLabs voice agents, and Cal.com scheduling.
No custom software development is required.
This project must be built using existing tools and integrations, not Python, Dialogflow, or custom backend services.
The AI agent will manage our phone line end-to-end and handle both inbound and outbound calls.
Core Responsibilities
Inbound Call Handling
Answer inbound calls professionally
Guide callers through:
scheduling appointments
canceling appointments
rescheduling appointments
Seamlessly transfer calls to a live staff member when requested
Handle polite fallbacks and edge cases (no availability, unclear intent, etc.)
Respect office hours and after-hours behavior
Outbound Call Handling
Place automated outbound calls to:
confirm upcoming appointments
remind clients of scheduled consultations
follow up with potential clients after an initial consultation
Configurable timing and retry logic
Capture call outcomes (answered, voicemail, no answer)
Trigger notifications or next steps based on results
Required Tooling (Must Have Experience)
You must have real, hands-on experience with:
n8n (workflow automation, webhooks, routing logic)
ElevenLabs (AI voice agents, prompts, tool usage)
Cal.com (availability, booking, cancellations, status)
This project does not involve:
Python
Dialogflow
Custom backend servers
GCP / AWS deployments
Quality & Reliability Expectations
Because this system will sit at the center of a professional-services office, the following are critical:
Stable, production-ready workflows
Natural, professional conversational flow
Proper error handling and fallback logic
Clean separation between inbound, outbound, and escalation paths
I am specifically looking for someone who has already shipped AI voice agents into real-world use, not prototypes.
Knowledge Transfer (Required)
This is not a black-box delivery.
You must:
Walk me through the full architecture
Explain:
n8n workflows
ElevenLabs agent setup
Cal.com integration logic
inbound vs outbound call flows
Show me how to:
modify appointment logic
adjust office hours
change follow-up sequences
troubleshoot common issues
Provide documentation and/or recorded walkthroughs
I am familiar with n8n, ElevenLabs, and Cal.com and want to be able to maintain and extend the system myself.
Acceptance Criteria (Live Demo Required)
The project will be considered complete when you demonstrate on a test number:
A caller successfully scheduling an appointment
A caller asking for a human and being transferred to live staff
An automated outbound call confirming an appointment, with outcome logged
