Automated Lead Management and Communication System using n8n

Project Description:
Objective:
Develop a complete automation system using n8n, Gemini 1.5 Flash API (Google), and WhatsApp (unofficial integration).
The system will handle incoming email leads, manage customer interactions via WhatsApp, perform local audio transcription (using Whisper), and summarize conversations.
Project Scope:
1. Email Lead Processing:
• Triggered when a new lead arrives via Gmail.
• Extract customer name and phone number from email content.
• Normalize phone numbers to Israeli format (e.g., 054-450-95-95 to 972544509595).
2. Customer Data Management (Google Sheets):
• Check normalized phone number against Google Sheets database to determine if customer is new or returning.
• Fields in Google Sheets: normalized phone, name, status (New/Return), first contact date, last contact date, communication summary.
• Update or insert customer details accordingly.
3. WhatsApp Communication (Unofficial Integration):
• Automatically send a personalized WhatsApp message based on customer status (new or returning).
• Handle incoming customer replies (text/audio messages).
• Audio messages must be transcribed locally using Whisper.
4. Conversation Handling:
• Temporarily store conversation text in memory.
• After 20 minutes of inactivity, summarize the entire conversation using Gemini 1.5 Flash API.
• Store the summary in the Google Sheets communication field.
• Send the summary along with customer details (name, normalized phone, status, first and last contact dates) via WhatsApp to a predefined admin number.
Technical Specifications:
• Server Provided: Hetzner CX22 (2 vCPU, 4GB RAM).
• Technologies Required: n8n, Whisper (local audio transcription), Gemini 1.5 Flash API (Google), unofficial whatsapp integration, Google Sheets.
• Budget constraints: This project must not incur additional ongoing costs besides server costs.
Deliverables:
• Fully functional and tested n8n workflow.
