Development of a Realistic AI Voicebot for Pharmacies (VAPI + n8n + Excel Integration) Objective

The goal is to develop a fully functional, human-like, automated AI voicebot for a German pharmacy. The voicebot should be built using VAPI (Voice API), connected to automation workflows in n8n, and integrated with Excel files as the main data source for medication availability, pricing, and other pharmacy-related data.

Functional Scope
Voicebot (VAPI)
Realistic and empathetic interaction in German
No robotic or artificial tone, no technical terms or AI mentions
Accurate pronunciation of numbers (including PZN), letters, and special characters
Built on a detailed and tested voice prompt designed to simulate real-world pharmacy interactions
Use Cases
Provide pharmacy opening hours live, so when its night the voicebot knows that the pharmacy is closed and gives different answers
Give directions to the pharmacy
Check medication availability (prescription-free or PZN-based)
Return medication pricing based on Excel list - This is the main part
Simulate reservation of common medications
Distinguish between statutory and private prescriptions, explain “aut idem” regulation
Offer alternative medications based on indication groups
Recognize pharmacy emergency service status (based on day/time)
Check stock availability across different pharmacy branches
Offer appointment booking through calendar integration
n8n Automation Logic
Parse and analyze caller intent (from VAPI)
Perform Excel lookups for availability, price, alternatives
Collect personal data in GDPR-compliant manner (name, phone, birth date, etc.)
Log each call with a summary and user intent
Escalate complex requests to human staff via webhook
Option to simulate answers in "Demo Mode" or switch to live mode
Optional integration with external calendar APIs (e.g., Cal.com)
