This project will be broken into several milestones.
The overall project is for a user interface system for our business. Please note that you will be expected to know how to achieve such things. There is limited time available by the project manager to discuss things on a daily basis. I have to run a busy business and that involves most of my effort.
It is acknowledged that this document is a general document, and each part will need to be tweaked to arrive at a finished product.
CRM with telephony.
1. A fairly simple customer /supplier database that will work with our existing VoIP system. It will act as a softphone (Or use the existing softphone software).
2. It will call for a customer file when that customer number calls in. It will also provide a s imp-le method of us calling out.
3. Any call will drag the records for that caller, so that anyone answering the phone will know the up-to-date situation.
4. It will include any appointments, any notes, any tasks, any orders they have placed.
5. All these things will appear in their own text boxes on a screen.
Appointments.
1. Appointment calendar. That keeps 3 separate schedules, and merges them.
2. That means simple views, individual, daily, weekly, monthly yearly.
3. All at once in the same ways.
4. Appointments are within a time range and should be generated by anyone with access to the system.
5. They should appear in a simple visual way

Task management
1. We generate tasks which can be assigned by anyone. These might be in note form.
2. They probably will relate to a calendar.

Notes.
1. Notes are taken in conversation with a caller. These are stored in date and time order. Most recent being top of the list.

Workshop management
1. With every order we get we will create a ‘job’. That job will include time allowed for certain tasks. The tasks are skill based.
2. This program will take account of the time allocated and then allocate the task to the next available time slot.
3. If we have 5 workers each has available time, and a skill. They take tasks as soon as they finish the previous one allocated to them.
4. This is viewed as a schedule, also as a Gantt chart.

Generate reports
1. We will need to generate reports of information gained from the system, these will be both printed and shown on screen.
