Monday.com Workflow Time-Tracking Automation

We are looking for a skilled developer to help build a digital production tracking and capacity management system that manages hundreds of steel parts and assemblies across multiple fabrication processes.

We have already developed:

✔ A complete system architecture
✔ A full Excel engine with formulas, logic, and workflows
✔ A full Monday.com JSON blueprint
✔ Detailed process logic, dependencies, and time standards

Now we need a developer to convert our system design into a working digital solution inside Monday.com (using its API + automations) OR build a custom standalone tool that replicates the same logic.



1. What We Are Building

A visual production management system that tracks:

✔ Every job

✔ Every assembly

✔ Every part

✔ Every fabrication process

✔ All cycle times & capacities

✔ Bottlenecks across the production line

This is for a real steel fabrication shop with cutting machines, welders, and fitters, where parts flow through multiple dependent stages.

The system must show:
• What process each part is in
• Which parts are blocking downstream work
• Assembly readiness
• Where bottlenecks exist in each department
• Planned vs actual times
• Daily capacity vs load



2. Inputs

The system starts with one Excel export from our ERP (we provided an example):

This spreadsheet contains:
• Job numbers
• Assembly marks
• Part marks
• Cut lengths
• Weld lengths
• Plate thickness
• Sections (W shapes, HSS, PL, C, L, etc.)

The system must ingest this automatically.



3. Outputs

Once imported, the system must create:



A. PARTS TRACKING (per part)

For every part, the system must automatically assign:
• 2D Cutting OR 3D Cutting
• Next process (Tack-Up vs Parts Fit-Up)
• Planned minutes (via formulas we created)
• Actual time (based on start/stop button)
• Status color coding (Not Started → In Progress → Complete)
• Dependency unlocks (e.g., fit-up cannot start until all cutting is done)



B. ASSEMBLY TRACKING (per assembly)

System must roll up:
• How many total parts exist
• How many are cut
• How many require tack-up
• How many tack-ups are complete
• Assembly ready for fit-up flag
• Planned Bug Weld minutes (inches ÷ rate)
• Planned AGT weld minutes
• Paint time
• Final assembly readiness



C. CAPACITY & BOTTLENECK VIEW

A daily load view showing:
• Available machine hours
• Planned hours
• Actual hours
• Utilization %
• Bottleneck flag (auto red/yellow/green)
• Across all departments:

Processes include:
1. 2D Cutting
2. 3D Cutting
3. 3-Plate Tack-Up
4. Bug Weld
5. Parts Fit-Up
6. AGT Welding
7. Paint



4. Core Logic That Must Be Built

We already designed all formulas and logic. Developer must implement:

Cutting Logic
• PL = 2D Cutting
• W, C, L, HSS = 3D Cutting

Tack-Up Logic
• WB / OF / IF parts require Tack-Up after 2D
• 3D parts skip tack-up

Fit-Up Logic

Fit-up cannot begin until:
• All parts cut
• All required tack-ups done

Weld Logic
• Bug weld uses AssemblyWeldLength
• AGT weld uses WeldLength

Planned Time Calculations

Provided by us:
• 2D = 26 in/min
• 3D = 15 in/min
• Tack-Up = 10 min per WB/OF/IF
• Bug Weld = 15 in/min
• Fit-Up = 5 min per part
• AGT = 24 in/min
• Paint = 20 min per assembly

Status Dependencies

Updating a status automatically triggers the next downstream unlock.

6. What We Need From You

We need a developer to:

OPTION B — OR Build a custom standalone web application

Tech stack can be:
• React + Node
• Python FastAPI + React
• Django
• Bubble.io (low-code)
• Retool
• AppSheet
• Flutter
• Your preference

The tool must support:

✔ Import ERP Excel
✔ Auto-calculate all logic
✔ Auto-push to database
✔ Real-time visualization
✔ Machine capacity dashboards
✔ Color-coded bottlenecks
✔ Start/Stop time tracking
✔ Operator mobile-friendly updates



7. Required Skills

The ideal freelancer must have:

✔ Experience building production tracking or MES systems

✔ Strong background in workflow automation

✔ Backend logic design experience

✔ Ability to connect Excel → Database → UI

✔ Strong data modeling

✔ Understanding of dependencies & manufacturing concepts

✔ Monday.com API experience (if using Monday)

✔ UI/UX skills for shop-floor-friendly interfaces

Preferred but optional:
• Experience in fabrication, machining, or ERP systems
• Experience building OEE or MES dashboards
