Offline-first Inspection Platform Creation -- 2

Job ID: 40500868

Budget: $750 – $1,500 AUD

Offline Digital Inspection Platform - Requirements & Quote Brief
Executive Summary
This project seeks the design and development of an offline-first digital inspection platform intended to replace paper-based inspection and compliance forms. The platform will be used primarily in mining, industrial and field-based environments where network connectivity may be intermittent or unavailable.

The primary objective is to provide auditable evidence that inspections have been completed while reducing the administrative burden associated with paper records.
Business Objectives
• Eliminate paper inspection forms.
• Improve compliance record keeping.
• Capture inspection evidence digitally.
• Support multiple operational sites.
• Provide searchable historical inspection records.
• Generate PDF inspection reports.
• Support future expansion without requiring major redesign.
Project Scope
The system is intended to manage inspection forms and inspection evidence only.

The system is not intended to be:
• An asset management platform.
• A maintenance management system.
• A production logging system.
• A workflow automation platform.
• A risk management engine.

The focus is inspection capture, evidence retention and compliance reporting.
User Types
Typical users may include:
• Operators
• Drillers
• Supervisors
• Inspectors
• Safety Personnel
• Administrators

Users may have access to one or more operational sites.
Multi-Site Operation
The platform must support multiple operational sites.

Users may be granted access to one or many sites.

Inspection targets, forms and inspection records should be filtered based on site access permissions.
Inspection Targets
Forms may be associated with an inspection target.

Examples:
• Vehicle
• Equipment
• Pit Wall
• Blast Pattern
• Magazine
• Work Area
• Stock Item

The system only requires a unique identifier, name/description, site association and active/inactive status for inspection targets.
Form Builder
Administrators must be able to create and maintain forms through a web interface.

Capabilities should include:
• Create forms
• Version forms
• Activate/deactivate forms
• Configure field ordering
• Configure mandatory fields
• Associate forms with inspection target types
Response Types
The system should support configurable field response types including:

• Pass / Fail
• True / False
• Text
• Number
• Date
• Dropdown
• Multi-select
• Photo
• Signature
• GPS Location

Dropdown and multi-select fields should support configurable option sets.
Mobile Application
The mobile application must:

• Operate completely offline.
• Store forms locally.
• Store inspection targets locally.
• Store photos locally.
• Store completed inspections locally.
• Synchronise automatically when connectivity becomes available.

Users must be able to complete inspections without network access.
Inspection Lifecycle
Typical inspection workflow:

1. Open inspection.
2. Complete inspection.
3. Attach evidence.
4. Submit inspection.
5. Generate PDF.
6. Lock record.

Submitted inspections should become read-only.
Evidence Capture
The platform should support:

• Photographs
• Signatures
• GPS Coordinates (optional)
• User identification
• Date/time stamps

Photographs should be attachable to individual inspection responses.
Offline Synchronisation
The platform should support asynchronous synchronisation.

Completed inspections should be queued locally and uploaded when connectivity becomes available.

The solution should be capable of handling multiple users synchronising data simultaneously.
Data Export Requirements
The platform must provide the ability to export inspection data for reporting, auditing, regulatory compliance and integration with external business systems.

Export functionality should be available to authorised users and administrators.
The solution should support exporting:
• Completed inspections
• Inspection responses
• Inspection targets
• User information (subject to permissions)
• Site-based inspection records
• Audit information
• Historical inspection data

Export formats should include:
• Microsoft Excel (XLSX)
• CSV
• PDF
Users should be able to apply filters prior to export, including:
• Site
• Date range
• Inspection type
• Inspection target
• User
• Inspection status
• Response values
Examples:
• Export all inspections completed during a specified period.
• Export all inspections associated with a specific inspection target.
• Export all failed inspection responses.
• Export all inspections for a specific site.

Customisable Export Layouts
The platform should support configurable export templates and layouts.
Authorised users should be able to determine:
• Which fields are included in the export.
• Column ordering.
• Column headings.
• Sorting order.
• Grouping options.
• Report titles and descriptions.
• Inclusion or exclusion of photographs.
• Inclusion or exclusion of signatures.
• Inclusion or exclusion of audit information.
The intention is to allow organisations to create exports that meet operational, management, client and regulatory reporting requirements without requiring software development.
Future Integration
The solution should provide access to underlying inspection data and should not require proprietary reporting tools to retrieve records.
Future integration with external reporting, business intelligence, data warehousing and analytics platforms should be considered during solution design.
The exported data should preserve sufficient information to allow independent analysis outside the platform and should minimise vendor lock-in.
PDF Generation
Completed inspections should generate a PDF record containing:

• Inspection details
• User details
• Site details
• Inspection target details
• Responses
• Photographs
• Signatures
• Submission date and time

The PDF should serve as the primary compliance artifact.
Search and Reporting
Users should be able to search historical inspections by:

• Site
• Date range
• User
• Inspection type
• Inspection target
• Response values

Examples:
• Show all failed tyre inspections.
• Show inspections completed on a specific vehicle.
• Show inspections completed during a date range.
Administration
Administrators should be able to:

• Manage users
• Manage site access
• Manage inspection targets
• Manage forms
• Manage response option sets
• Activate/deactivate records
• Access historical inspection records
Audit and Retention
Inspection records must remain available for compliance and audit purposes.

Historical records should remain searchable and retrievable after archival.

The system should support long-term retention of inspection records.
