Request for Proposal (RFP)

1. Project Overview

We are seeking a development team to create a custom web app similar to Books, with additional custom functionalities tailored to manufacturing, inventory management, and an in-house HR system. The app should support multiple user roles and be scalable for future updates and changes.

2. Key Features and Functionalities

Frontend (UI/UX)

Create the frontend design of Books, with custom adjustments as required.

User-friendly interface with clear navigation for different modules.

Mobile-responsive and clean design.

Implement dashboards to show key metrics such as order progress, manufacturing status, and HR data.

Core Functionalities

1. Order Management:

Allow users to create and manage sales orders, generate invoices, and track payments.

Order status management: Confirmed, Pending, Completed, Delayed.

Integration of manufacturing order generation once a sales order is confirmed.

Manufacturing schedule management with options to modify and provide reasons for changes.

Notifications for order updates and status changes.

2. Inventory Management:

Ability to track raw materials, products, and finished goods.

Automatic creation of Manufacturing Orders (MO) based on sales order confirmation.

Integration with vendors to request BOM (Bill of Materials) if available in the warehouse.

Automatic generation of Request for Proposals (RFPs) to selected vendors if BOM is not available.

Tracking of inventory stock levels and alerts when stock is low.

3. Pricing Calculator:

A flexible pricing system that adjusts based on various parameters (to be added later).

4. Order Analytics:

Dashboard with real-time analytics on orders completed on time, before the target time, and delayed.

Visual representations (charts, graphs) of order status and performance.

5. In-House HR System:

Employee management: Create and manage employee profiles with personal information, job titles, work history, and contact details.

Salary and Financial Statements: Track employees' salaries, advances, and other financial records.

End-of-Service Benefit Calculation: Calculate the end-of-service benefits according to UAE law.

Leave Management: Track leave days and leave salary, with calculations for leave accrual and balances.

Payroll Management: Generate salary slips based on attendance, leave, and salary structure.

Attendance Tracking: Sync employee clock-ins/clock-outs within the system (manual entry or integration with an internal attendance system).

Reports: Generate HR reports like attendance, salary, leave, etc.

Full freedom to modify and expand the HR system in the future.

6. Accounting web app Books Functionality:

Invoices and Payments: Manage customers, create and send invoices, receive payments, track overdue payments.

Expenses: Track and manage expenses, categorize them, and link them to relevant accounts.

Banking: Sync and reconcile bank statements.

GST & Tax Management: Manage tax rates, GST, and filing, in compliance with UAE regulations.

Reports & Analytics: Generate detailed financial reports (Profit & Loss, Balance Sheet, Tax Reports, etc.).

Clients and Vendors Management: Manage clients, vendors, and their contact details.

3. Technical Requirements

Tech Stack:

Frontend: HTML5, CSS3, JavaScript (React.js or Angular).

Backend: Python (Django or Flask) or Node.js, REST APIs.

Database: MySQL, PostgreSQL, or MongoDB.

Cloud Hosting: AWS, Google Cloud, or Azure (to be decided).

Backup: Integration with Backblaze B2 for cloud backups.

Multi-User Support:

Role-based access control (admin, manager, employee, etc.).

User authentication (OAuth, JWT, or similar).

Secure login and session management.

Security:

SSL encryption for all communications.

Data protection in accordance with relevant privacy laws (e.g., GDPR if applicable).

4. Integration Details

In-House HR System:

Custom-built HR system for managing employee data, payroll, attendance, leave, and end-of-service benefits.

Flexibility to modify and expand as business requirements change.

Payment Gateway:

Not required as the clients will not be paying online.

Notifications:

Email notifications for key events (order confirmation, manufacturing schedule updates, HR updates, etc.).

5. Data Security and Cloud Backup Responsibility

1. Data Security:

All user and client data, including sensitive financial and personal information, will be stored securely on the cloud storage system.

Encryption: All data will be encrypted both in transit (SSL/TLS) and at rest to ensure confidentiality and integrity.

Access Control: Role-based access control (RBAC) will be enforced, ensuring that only authorized users can access specific data.

User Authentication: Secure login mechanisms (e.g., two-factor authentication) will be implemented to ensure the security of user accounts and data access.

Compliance: The system will comply with relevant data protection regulations, such as GDPR and the UAE Data Protection Law.

2. Cloud Storage System Responsibility:

The cloud storage system (e.g., Backblaze B2) will take full responsibility for the storage, security, and daily backup of all system data.

The cloud service will handle:

Backup Frequency: Daily automated backups to ensure data integrity and availability.

Disaster Recovery: The cloud provider will have disaster recovery protocols in place to ensure business continuity in case of failure or data loss.

Data Redundancy: The cloud provider will store data in multiple data centers to ensure redundancy and prevent data loss.

Backup Management: The app will be configured to automatically back up all critical data (including sales, orders, HR data, and financial records) to Backblaze B2 or the chosen cloud provider.

3. Backup Monitoring and Alerts:

Real-Time Monitoring: The cloud service provider will offer real-time monitoring of backup health.

Backup Alerts: If any backup fails or requires attention, automatic alerts will be sent to the development and operations teams.

4. Cloud Backup SLA:

A Service Level Agreement (SLA) with the cloud service provider will be put in place to guarantee data availability and backup success. The SLA will include:

Guaranteed uptime (e.g., 99.9% or better).

Quick response times for backup-related issues.

Timely recovery and restore options for critical data if needed.

6. Development Phases & Timeline

1. Phase 1: Discovery & Design

Requirements gathering and finalizing scope.

UI/UX design and user flows.

Approval of wireframes and design before development starts.

2. Phase 2: Frontend and Backend Development

Develop frontend of Books with customizations.

Set up backend, database, and API structure.

Implement key modules like order management, inventory, HR system, and full Books integration.

3. Phase 3: HR System Development

Develop the in-house HR system based on the specified features.

Ensure compliance with UAE labor law for end-of-service benefits, leave management, etc.

4. Phase 4: Testing and Quality Assurance

Testing of all modules for bugs and performance issues.

User acceptance testing (UAT) with real data.

Final revisions based on feedback.

5. Phase 5: Deployment & Final Adjustments

Deploy the app to production.

Ensure smooth cloud backups are set up with Backblaze B2.

Final testing and bug fixes.
