Outlook Calendar Meetings Coordinator

I’m looking for a dependable assistant who can take full ownership of my Microsoft Outlook calendar on a part-time basis. Your primary focus will be keeping every meeting I host, join, or reschedule running like clockwork. That means responding quickly to incoming requests, blocking out travel or preparation buffers, and resolving inevitable clashes before they reach me.
You’ll work exclusively in Outlook, coordinating with internal teams and external partners so that all meeting links, room bookings, attendee lists, and follow-ups are in place and updated as changes arise. Clear written communication and a keen eye for time-zone differences are essential; I move between regions regularly and need you to think ahead.
Deliverables
• A continually up-to-date Outlook calendar with accurate titles, attendees, and locations
• Timely meeting confirmations or proposed alternatives when conflicts pop up
• End-of-day summary (bullet email) highlighting new bookings, changes, and any items still awaiting my decision
Success is simple: if I can open my calendar each morning and trust what I see, we’re on track.
