Project Title: Internal Operations Dashboard / Case Management System for Logistics & Customs Company
We are looking for an experienced developer or agency to build an internal operations dashboard for our logistics and customs company.
The system should work as a central hub where all customer requests and orders can be created, assigned, tracked and documented by our employees.
We receive customer requests mainly via email and WhatsApp/Superchat. Currently, many requests are spread across inboxes, chats, folders and individual employees. We want to centralize this into one clear system.
The idea is similar to an internal ticket system / lightweight ERP / case management system.
Main goal:
Employees should have one dashboard where they can see all open cases, their assigned orders, current status, missing documents, risks, deadlines, internal notes and customer communication.
Required features for the first version:
1. Internal dashboard
* Overview of all open cases/orders
* Status tracking, for example: New, In Review, Waiting for Documents, In Progress, Completed, Escalated
* Assignment to employees or teams
* Filters by employee, status, customer, priority, deadline, type of case
* Search function
* Management overview with open cases, overdue cases, workload and processing times
2. Case / order details
Each case should include:
* Ticket/order number
* Customer name and contact details
* Sender/requester
* Subject/request type
* Status
* Responsible employee
* Internal notes
* Documents/uploads
* Communication history
* Deadlines/reminders
* Activity log / audit trail
3. Email integration
We would like an easy way to create a new case directly from Outlook.
Ideally, there should be a button or add-in in Outlook where an employee can select an email and create a new case/order from it.
The system should automatically copy relevant information from the email, such as sender, subject, body, attachments and timestamp.
After a case is created, the sender should automatically receive a confirmation email, for example:
“Your case has been received and is being processed by [employee/team]. Your ticket number is [ticket number]. Please use this ticket number for further communication.”
Future replies from the customer should ideally be linked to the same ticket/case.
4. WhatsApp / Superchat integration
Requests coming through WhatsApp/Superchat should also be possible to create as cases in the system.
This can be done through an API, webhook, manual import or another practical solution depending on what is technically possible.
5. Documents
* Upload and store documents per case
* Attach documents from emails automatically if possible
* Categorize documents, for example invoice, packing list, transport document, customs document, certificate, etc.
* Later option for customers to upload documents directly through a portal
6. User roles and permissions
* Admin
* Manager
* Employee
* Possibly customer access later
* Employees should only see or edit what they are allowed to access
7. Notifications and reminders
* Internal reminders for missing documents
* Overdue cases
* New assignment notifications
* Optional email or Teams notifications
8. Future customer portal
In a later phase, we would like to add a customer portal where senders/customers can:
* Create new requests directly
* Upload documents
* See the status of their case
* Communicate under their ticket number
* Avoid sending everything by email
Important:
We are open to the technology. It can be a custom web application, Microsoft Power Platform, SharePoint/Dataverse, Odoo, Zoho, Airtable, Monday.com, ClickUp, Laravel, React, or another suitable solution.
We do not want an overcomplicated enterprise ERP system. We need a practical, clean and scalable first version that our employees can actually use every day.

1. Which technical solution you recommend
2. Whether you can build the Outlook button/add-in or another practical Outlook integration
3. How you would handle automatic ticket creation from emails
4. How you would handle automatic confirmation emails with ticket numbers
