Email and Administrative Support

Job ID: 40135963

Budget: $15 – $25 USD

I need a detail-oriented assistant who can take full ownership of two key areas inside our Chicago office’s online support setup: managing packed executive calendars and transforming a crowded Microsoft Outlook inbox into a logically structured, easy-to-scan workspace.

Each weekday you will coordinate meetings, adjust time zones when team members travel, and flag any clashes or overdue requests before they become problems. At the same time, you will create and maintain an intuitive folder system, apply consistent categories, and surface priority messages so leadership never misses a beat.

We already run everything through Microsoft Outlook, so solid experience with its scheduling tools, rules, categories, and search folders is essential. If you can set up quick-steps or macros to speed repetitive actions, even better.

Success looks like this: calendars always reflect the latest commitments with zero double-booking, and the inbox stays below agreed thresholds with every message routed to the right place within 24 hours. Regular end-of-day summaries will confirm what moved, what’s pending, and any decisions I need to make.

If you thrive on keeping others organized and know Outlook inside out, let’s talk.
