Virtual Executive Assistant
Budget: $2 – $8 USD
My days move quickly across meetings, client calls, and frequent travel, and I need a proactive partner who can keep every moving part perfectly aligned. The core of the role is end-to-end calendar control—coordinating meetings across multiple time zones, anticipating conflicts, and sending reminders before I even ask. Alongside that, you’ll maintain my inbox, draft concise responses, flag priorities, and ensure important threads never get buried. When trips arise, you’ll research routes, secure flights and hotels, and build tidy itineraries so I can focus on the work, not the logistics.
To do this smoothly, you’ll lean on solid Microsoft Office skills for polished documents and quick data turns, hop into project-management platforms (we use Asana) to update tasks and deadlines, and record key interactions in our CRM so the whole team stays informed. Expect to switch seamlessly between internal chats, client updates, and vendor negotiations; clear, confident communication is essential.
Deliverables I’ll rely on:
• A conflict-free calendar always kept at least two weeks ahead
• An inbox that ends each day organized, prioritized, and with drafts ready for my review
• Detailed travel itineraries including booking confirmations and contingency options
• CRM and project board entries up to date within 24 hours of any interaction
Success is simple to measure: if my schedule runs smoothly, my inbox feels light, and every stakeholder gets timely responses, you’re doing it right. Let’s make my workflow effortless together.
