AI-Microsoft 365 Meeting Reporting System

We are seeking an experienced Microsoft 365 and OpenAI integration developer to build an automated meeting reporting system for Ambient Sustainable Living, a residential construction company in Western Australia.

Our daily construction Site Huddle meetings are recorded and transcribed in Microsoft Teams. The proposed system must automatically:

Retrieve Teams recordings, transcripts and meeting metadata.
Store the files and metadata in SharePoint.
Process each transcript through a specialist OpenAI reporting agent.
Generate structured Site Supervisor Reports in Word and PDF.
Extract and record actions, owners, due dates, safety issues, quality requirements, blockers and decisions.
Email reports to authorised meeting participants.
Produce separate daily summary reports for the Managing Director – Builder and Managing Director – Owner.
Generate MP3 audio briefings from the management reports.
Include secure permissions, monitoring, retries and audit records.

The preferred solution will use Microsoft Graph, SharePoint Online, Power Automate, Azure Functions or another suitable Azure service, and the OpenAI API.

We prefer a fixed-price project delivered through agreed milestones, starting with a pilot across two construction sites. All source code, Power Automate flows, prompts, schemas, templates and documentation must be created in ASL-owned environments and transferred to ASL.
