SharePoint Accounting Filing System

Job ID: 39900502

Budget: $1,500 – $3,000 USD

I’m ready to give our finance team a modern, searchable, and compliant home for every accounting document inside Microsoft SharePoint Online. Tax documents are the most critical content, so the structure must withstand audits while still feeling effortless to use.

Here’s what I need:

• Build a dedicated library (or set of libraries) that makes it easy to file and retrieve receipts, contracts, work papers, fixed-asset schedules, emails, and other artifacts.
• Define content types and columns with standardized metadata—Year, Vendor, and Department are mandatory—so users can slice, filter, and report at will.
• Create a scanner-based capture flow as the primary ingestion path. When a batch is scanned, it should arrive in the right spot with a clean prompt for the required metadata. Power Automate, Universal Print, or a proven third-party connector are all acceptable.
• Add optional capture routes for email-to-SharePoint and mobile upload; they don’t have to be perfect yet, just functional for early adopters.
• Configure retention labels and granular permissions that meet typical U.S. accounting schedules (seven-year retention for tax files, stricter controls for payroll, etc.).
• Supply a concise user guide or short screencast so my staff can start filing on day one.

An initial prototype inside our tenant, one feedback loop, and a polished final build will round out the engagement.

Relevant skills: SharePoint Online, Microsoft 365, Power Automate, metadata design, information governance, scanner integration.
