Job Ad: Office 365 / Exchange Migration – Setup & Mailbox Migration from On-Prem Server

Overview
We are seeking an experienced Microsoft 365 / Exchange specialist to configure Office 365 for our organisation and fully migrate our on-premise Exchange mailboxes to the cloud. The goal is a smooth, zero-data-loss transition with minimal downtime for end users.
Scope of Work
1. Office 365 Setup
Configure Microsoft 365 tenant (if not already configured)
Security, compliance & basic hardening
DNS updates for MX, SPF, DKIM, DMARC
Configure Exchange Online settings, policies, and connectors
2. On-Prem Exchange Assessment
Review existing Exchange environment (version, mailbox sizes, health check)
Identify potential issues (public folders, shared mailboxes, large PSTs)
Prepare migration plan, sequencing, and cutover strategy
3. Migration
Migrate all user mailboxes from on-prem Exchange to Office 365 (approx. 13 mailboxes – we will confirm exact numbers)
Migrate 6 shared mailboxes, distribution groups, aliases, rules, and calendars
Ensure all devices (Windows, Mac, iOS, Android) reconnect properly
Resolve sync issues or missing data
Verify mail flow before & after cutover
4. Post-Migration
Decommission/shut down on-prem Exchange safely
Documentation of final environment
Basic training/hand-over for our internal admin
Requirements
Proven experience migrating from Exchange 2010/2013/2016/2019 to Microsoft 365
Strong knowledge of Azure AD, hybrid mode (if required), DNS, mail flow
Ability to work with minimal disruption to users
Excellent communication and documentation skills
Microsoft certifications (MS-100, MS-101, AZ-104, or Exchange certifications) highly regarded
Deliverables
Complete migration of all mailboxes and groups
Tested and verified mail flow
Updated DNS and security settings
Final migration report
Optional: guidance on removing on-prem AD/file server (if applicable)
