Navara Resident Liaison System – Project Brief
Overview
I’m delivering the Resident Liaison Officer (RLO) role for a housing project (Thorpes Yard).
I need a simple, no-code system set up in Microsoft 365 that will help me:
Track resident queries, complaints, and access requests
Reduce email admin by logging issues automatically
Collect resident satisfaction feedback
Generate a basic monthly report for the client and Board
The setup should be easy to use and fully reusable for future projects.
Core Tools (all Microsoft 365)
Outlook – for resident emails
Microsoft Forms – for residents to submit issues and feedback
SharePoint / Microsoft Lists – to track and manage all issues
Power Automate – to connect the forms, emails, and tracker
Excel or Power BI – for simple dashboard and monthly summary report
What I Need Built
Resident Query Tracker (Microsoft List)
Log all resident issues (date, name, type, urgency, summary, status, notes).
Add simple drop-down fields for “Status,” “Type,” and “Assigned To.”
Create views: Active / Closed / Complaints / Access Required.
Resident Query Form (Microsoft Form)
Residents submit queries instead of emailing.
Form automatically creates a new entry in the tracker.
Send an auto-confirmation email (“We’ll reply within 48 hours”).
Feedback Form (Microsoft Form)
4–5 short questions for residents on satisfaction and clarity of communication.
Linked to tracker when possible.
Automation (Power Automate Flows)
Flow 1: When a new form is submitted → create record in tracker → send confirmation email.
Flow 2: When tracker item is marked “Closed” → send feedback form link.
(Optional) Simple email logging: when a new email comes into a folder called “Resident Queries,” create an entry in the tracker.
Dashboard / Report
Simple Excel or Power BI dashboard showing:
Total queries logged
% resolved within SLA
Complaints trend
Average satisfaction score
Resident comments
Documentation
Quick guide on how to duplicate this for future projects and refresh the dashboard.
Delivery Expectations
Build everything inside Navara’s Microsoft 365 environment (guest access provided).
Deliver a working prototype within 10–14 days.
