Microsoft 365 Folder Architecture
Budget: €30 – €250 EUR
I’m looking for a sharp-thinking Microsoft 365 specialist who can tame our files once and for all. The single focus is file organisation: designing and building a clean, scalable folder structure inside SharePoint / OneDrive that works for project management.
Here’s what I need from you:
• Review our current mix of project files, spot any glaring gaps or duplication, and clarify what should be archived.
• Draft a logical top-level hierarchy with consistent sub-folders that map to real-world project phases and deliverables.
• Implement the structure directly in SharePoint Online (or OneDrive, if you find that cleaner), applying clear naming conventions and, where useful, metadata tags.
• Set default permissions so internal team members have everything they need, while external stakeholders see only their slice of the pie.
• Hand over a short reference guide (PDF or OneNote page) that shows staff how and where to save new material.
Acceptance criteria
• A “new-project” template that can be duplicated in under a minute.
• No loose files sitting in root or miscellaneous folders.
• Permissions confirmed with at least one internal and one guest account.
You’re free to use any native 365 tools—Admin Center, SharePoint admin, Teams, or even a bit of PowerShell—so long as the end result is tidy, intuitive, and future-proof. Draft structure in 3 business days, full rollout the week after. If you’ve rolled out similar architectures before, I’d love to see an example when you reply.
