Enable Scan to Email on Canon C5540i with Microsoft 365 OAuth 2.0 - With Documentation & Training
Budget: $30 – $250 CAD
I need an experienced IT professional or freelancer to configure a Canon imageRUNNER ADVANCE C5540i multifunction printer (MFP) to use Scan to Email with a Microsoft 365 (formerly Office 365) account. The configuration must use Modern Authentication (OAuth 2.0), as Microsoft is deprecating Basic Authentication.
The work will be done remotely and requires expertise in both Canon MFP administration and Microsoft 365/Azure AD. In addition to the configuration, a key deliverable is comprehensive documentation and a brief training session on how to replicate this process.
Key Deliverables
Remote Configuration: Configure the Canon C5540i's Remote UI settings. This includes:
Navigating to Settings/Registration > Function Settings > Send > Network Settings - E-Mail/I-Fax Settings.
Accessing the OAuth 2.0 (Microsoft) Settings to begin the authentication process.
Microsoft Azure AD Setup: Assist with the necessary steps in the Microsoft tenant (Azure AD) to register the MFP as an application. This may involve:
Setting up an app registration to obtain a Client ID and Client Secret (if needed).
Granting the necessary API permissions for Mail.Send.
Configuring the authorization server endpoint in the Canon Remote UI.
Authentication and Token Management: Complete the OAuth 2.0 authorization flow. This includes:
Using the provided User Code from the MFP's Remote UI to authorize the device in a web browser.
Verifying that the Server Connection Status and Token Status on the Canon Remote UI show as "Successfully Connected" and "Active."
Testing and Verification: Conduct a test scan to ensure the functionality is working correctly and emails are being sent successfully from the Canon C5540i via the Microsoft 365 account.
Documentation: Provide a clear, step-by-step document (e.g., PDF or Word file) detailing the entire process. This document should include:
Screenshots of the Canon C5540i's Remote UI settings.
Screenshots of the Microsoft Azure AD app registration and permission settings.
A checklist of all required information (e.g., Tenant ID, User Account credentials for authorization).
A troubleshooting section for common errors.
Training Session: Provide a brief, remote training session (e.g., via Teams, Zoom, or Google Meet) to explain the documented process. This will enable our team to replicate the setup on other Canon devices in the future.
Requirements
Proven experience with Canon imageRUNNER ADVANCE series printers.
Strong knowledge of Microsoft 365, Azure Active Directory (Azure AD/Entra ID), and OAuth 2.0.
Experience with SMTP AUTH and Modern Authentication configurations for MFPs and other devices.
Excellent problem-solving skills to troubleshoot any connectivity or token errors.
The freelancer must be able to work remotely and have access to a reliable internet connection. The user will provide secure access to the MFP's web interface.
Strong communication skills and the ability to create professional, easy-to-follow documentation.
