Freight Email Coordinator for EU Imports
Budget: $250 – $750 USD
I manage several time-critical air shipments into and out of Europe and need another set of expert hands in the inbox, specifically during business hours in CET/CEST.
Each weekday between 09:00 and 15:00 CET/CEST you will: log into our shared email account; respond to all freight forwarder emails and handle any requests made by the forwarder within 1 hour; ensure shipments remain on schedule by monitoring the status of each shipment based on its schedule, regularly checking in with forwarders for status updates, and pushing forwarders to address any concerns if the shipment seems at risk for a delay; and provide daily activity and status reports to our team.
You’ll have everything you need before you start: flight documents, shipment details, communication guidelines, and procedures for handling any variable situations that you may encounter. All or most queries can be resolved with that information. When a question or situation falls outside the provided guidance, contact me immediately for further direction.
Because almost all cargos involve European imports and exports, I need someone who already understands Incoterms, customs procedures, and the rhythm of EU air freight. Confident, concise email writing and strict adherence to our guidelines are essential; I rely on consistent tone, zero mistakes, clear communication, and a proactive approach to preventing any delays or issues and addressing situations that could lead to delays or issues.
Deliverables:
• Same-day email responses (≤1 hours) throughout the stated window and resolving all forwarder requests that can be handled with provided documents, details, and guidance
• Monitor status of shipments to ensure shipments are on schedule by responding to emails and reaching out to forwarders for status updates and to make sure the forwarder pushing our shipment forward and on schedule in a professional manner
• Status reports on activities and relevant updates and developments
• A brief note or ticket whenever an issue requires my input
The hours and activity required during the hours provided will vary depending on the shipment status, forwarder, and other factors unique to each shipment, but quick and effective communication is critical in order to ensure each shipment remains on schedule.
The responsibilities of this job are very very important and must be handled seriously and professionally. Shipments delays are common and can occur for a multitude of reasons, many of which can be prevented, and we need you to maintain a mindset that delays can and will occur for every shipment and we need to be rigorous in monitoring, addressing, and resolving any situation that could lead to a delay.
Given the nature of this work, we believe a per shipment rate may make more sense, but we are open to discussing payment terms and agreeing on a structure that works best for both myself and the contractor. We estimate that each shipment will require 12-18 hours across 3-5 days.
