Subcontractor Coordination Virtual Assistant Needed

Virtual Assistant — Subcontractor Sourcing & Quote Coordination (US Government Contracting)
Project Overview
We are a US-based government contracting firm pursuing janitorial, facilities, medical courier, and logistics contracts across Southern California. We need a detail-oriented virtual assistant to handle subcontractor sourcing and quote coordination so our internal team can focus on bid strategy and proposal writing.
This is an ongoing, long-term engagement starting with a paid trial period. Strong performers will be offered a recurring weekly schedule.
What You'll Do
Research and build target lists of qualified subcontractors (janitorial, courier, facilities, construction-adjacent trades) within specified US geographic areas
Verify subcontractor credentials: state license status (e.g., California CSLB), insurance, bonding capacity, small business certifications
Send outreach emails using provided templates; follow up on a defined cadence
Collect and organize quotes, capability statements, and W-9s into a structured tracker
Maintain a clean subcontractor database in Google Sheets with contact info, certifications, quote status, and notes
Provide a weekly summary report of outreach activity and quote status
Required Skills
Strong written English (B2/C1 or higher) — your emails will be read by US business owners
Proven cold outreach or lead generation experience targeting US businesses
Web research and list-building (Google, Yelp, BBB, state licensing boards, industry directories)
Google Sheets / Excel proficiency
Experience with a CRM or pipeline tool (HubSpot, Zoho, Trello, or a structured spreadsheet)
Self-directed work style — able to execute from a written brief
Available for at least 2–3 hours of overlap with US Pacific Time
Preferred (Not Required)
Familiarity with US government contracting (SAM.gov, NAICS codes, set-asides)
Prior experience in janitorial, courier, logistics, or facilities industries
LinkedIn Sales Navigator or Apollo.io
Comfort making outbound calls to US numbers
