This document outlines the responsibilities, screening criteria, and document requirements for sourcing and qualifying leasing leads.
Role Overview
You will be responsible for:
Generating qualified leasing leads
Screening applicants for eligibility
Collecting and organizing complete rental applications
Ensuring all files are ready to be passed on for approval
Only complete and qualified applications should be submitted.
Responsibilities
Post ads on Facebook Marketplace, Reddit, and relevant local Facebook groups
Communicate with prospects via messaging, call, text, or email
Screen applicants for eligibility
Collect, organize, and verify all required documents
Confirm genuine interest in a specific listed unit
Submit fully qualified, ready-to-review applications only
What Is a Qualified Lead?
A lead is considered qualified only when all of the following are met:
Applicant confirms genuine interest in a specific listed unit
A completed rental application is submitted
All required documents are received and verified
Applicant clearly demonstrates the ability to afford rent
Application is complete and ready for landlord review
Required Documents
Each applicant must provide:
3 months of bank statements
3 months of pay stubs
OR government assistance documentation
Landlord reference (letter or phone number)
OR a co-signer
Employer reference (letter or phone number), if applicable
Government-issued photo ID
Income Guidelines
Rent being approximately 40% of income is ideal but not required
Income must clearly show the applicant can:
Pay rent
Cover basic living expenses (food, transportation, etc.)
If income does not support this, the application cannot proceed
Government Assistance Income
Government assistance income is accepted.
Common examples include (but are not limited to):
Disability (ODSP) / Ontario Works, Welfare (OW) / Child benefit (CCB)
Credit Guidelines
600+ credit score is ideal
Credit report is recommended but not required
If credit is under 600:
Do not request a credit report
Reassure the applicant that this will not be a barrier to approval and continue screening based on income
Flexibility & Advocacy
Small missing items may be negotiable if income clearly supports rent
Applicants should be reassured that: Reasonable advocacy is available when appropriate
Screening Efficiency
It is recommended to speak with applicants by phone first to confirm basic eligibility. This helps reduce wasted time and avoids collecting documents from unqualified applicants. Once documents are received, eligibility should be confirmed again before submission.
Keep the process simple and efficient
Avoid:
Incomplete submissions
Drawn-out or piecemeal document collection
Applications should be submitted only when fully complete
