Virtual Assistant: Admin & Travel Support
Budget: $30 – $250 USD
I need a dependable virtual assistant who can keep my inbox and calendar under control while also stepping in for practical, on-the-ground help when travel is required. Day to day you will filter and respond to emails, schedule meetings across multiple time zones, and keep my agenda running smoothly. On the logistical side you will book flights, trains and hotels, handle visa or insurance paperwork when it comes up, and keep a simple inventory sheet up to date so nothing essential is ever missing.
Although the position is fully remote most of the time, I occasionally need a trusted pair of hands on site in Germany, France, the Netherlands, Austria or Hungary. When those trips arise, you would accompany or represent me, confirm reservations, receive parcels, or liaise with local suppliers. All travel expenses are, of course, covered in advance.
You will thrive in this role if you are:
• Comfortable switching between email management, calendar scheduling, travel arrangements and inventory tracking without missing a detail.
• Fluent in English; any German, French or Dutch is a bonus.
• Able to travel within Europe at short notice and hold a passport or ID that allows easy cross-border movement.
• Proficient with common productivity tools (G-Suite, Outlook, Excel or similar) and quick to learn new platforms.
Deliverables:
1. Daily rundown of high-priority emails with proposed responses.
2. Updated calendar with no double-bookings and buffer times added.
3. Confirmed itineraries and reservation files for each trip, shared 48 hrs before departure.
4. Weekly inventory spreadsheet reflecting current stock and pending orders.
