Field Service Tasks
Task is a directive to visit some place at particular date and time, and perform some actions over there or simply make a delivery. Tasks can be assigned to employees. The system checks what tasks have been completed, failed or completed with delay, how much time an employee spent completing a particular task, etc.
The user can :
• Schedule tasks
• Reassign them to another employees/vehicles in case of unexpected situations,
• Retrieve reports to see how the job was done, measure staff productivity, and calculate costs
5.3.1.1. View list of tasks
Assigned tasks can be viewed in multiple ways:
• Interactively listed in table
• Located on map
• Scheduled on timeline
• Sorted by team members
• Overviewed in productivity chart
The list of task will be shown with the help of following details :
• Label
• Start date-time
• Finish date-time
• Arrival date-time
• Duration
• Description Tags
5.3.1.2. Sort tasks Tasksثر can be also sorted by status, employee, place or any custom tag.
5.3.1.3. Create new single task
The user can add new single task, for that the user will have to submit below information:
• Task name – it can be, for example, the name of the customer or a description of the task (Installation of equipment, Inspection of communications, etc.)
• Location – Enter the address, place name, geographic coordinates or select a point on the map.
• Task time – Set the date and time range (From-To) when employee should visit the job site. If necessary, specify additional time values.
• Employee – select an employee to perform the task. To make it easier to select him, use additional tools.
Post submission, the task will be created.
5.3.1.4. Create new recurring task
The user can add new recurring task, for that the user will have to submit below information:
• Task name – It can be, for example, the name of the customer or a description of the task (Installation of equipment, Inspection of communications, etc.)
• Location – Enter the address, place name, geographic coordinates or select a point on the map.
• Employee – Select one employee from the list.
• Start – The time at which the task will be started.
• Duration – Number of repetitions, can be specified in days, hours or minutes
• Admissible delay – This allows the employee to appear at the place of task execution not at the exact time of task start, but after the specified period of time.
• Visit duration –The minimum time an employee must spend on task address
• Ignore random visits with duration less than – If the employee does not plan to perform the task, but is at the task address, this parameter will allow not to consider the employee’s location at the task address for a certain period of time
5.3.1.5. Create Route task
The route task will be created when the employee visits multiple location on the same route. To create route task, -
1. Add checkpoint_1 title & submit same information as there in single task creation. 2. Repeat step 1 to add more checkpoints.
Post addition of all the checkpoints, the route task will be created.
5.3.1.6. Update task The user can update task information.
5.3.1.7. Delete one or more tasks The user can delete one or more selected recurring tasks.
5.3.1.8. Optimize route in case of route task
The user can optimize the checkpoints added in the route task so that so that the delivery time will be optimal. It will be nothing but a re-sequencing of checkpoints to reduce TAT (Turn Around Time).
The system should support optimization of maximum 15 checkpoints.
5.3.1.9. Search and filter the task
The user can search the list of tasks based on “Task Title” or “Tag”. The user can filter the list of tasks based on:
• Date of completion : Allow to select “Single date” or “Date range”
• Assigned employee : Allow to select one or more Employees.
• Task status i.e. Unassigned, Assigned, Arrived, Completed, Completed with errors, Delayed or Failed.
5.3.1.10. Print task The user can print the selected task without downloading it.
5.3.1.11. Delete task The user can delete the selected one or more task.
5.3.1.12. Task grouping
The user can group the task based on Selected employee, Status, Address and Label/Tag.
5.3.1.13. Task sorting
The user can sort the list of tasks based on Employee name, Status, Label, Start time and End time.
5.3.1.14. Import task via txt and xls file
The user can import the task. For that, the user can download the template in 2 formats i.e. .txt and .xls which will have headers like :
• Task title
• Start date
• End date
• Address
It will be the regular address or in the form of coordinates. If the user specify both options, the coordinates take precedence over the address.
• Latitude
• Longitude
• Description – Additional information for a task
• Delay – Time in minutes by which you can be late. In this case, the task will be marked as “Done with a delay.”
• Duration – Time in minutes necessary to offset the fact of the visit.
Automatic distribution of tasks to employees
The user can assign the task to employees post task import.
The user will have to select the employees (from the list) to assign the imported task.
